POSITION SUMMARY :

The E-Billing Coordinator is responsible for timely and successful processing of e-bills (invoices submitted electronically for payment). Time and accuracy are critical in every component of the e-billing process. Minimum of two (2) or more years related e-billing experience in a large law firm is highly desired.


Location Requirement:

Candidates must be located within 50 miles of one of our 18 office locations. Please review the list of office locations on our website and ensure that your residence is within the required distance before applying.


PRIMARY DUTIES AND RESPONSIBILITIES :

1. Set up and maintain electronically billed client matter information in various systems, including 3E, eBillingHub, and e-billing vendor websites.

2. Maintain compliance requirements as documented in client Outside Counsel Guidelines (OCGs).

3. Proactively verify new matters are added to e-billing vendor websites, if budgets are required/submitted, and whether working timekeepers are approved.

4. Submit e-bills along with required receipts or supporting documentation promptly after invoice is finalized in 3E. Address any validation errors until accepted successfully by e-billing vendor website.

5. Regularly monitor processing status of e-bills to ensure successful processing and timely payment to the firm.

6. Work with attorneys to appeal denials timely before the client’s appeal deadline.

7. Follow-up on any short-paid invoices, submitting write-off request as applicable.

8. Provide weekly status updates to Manager of all invoices outstanding for more than 60 days.

9. Identify any patterns of non-compliance or repeat rejections that may need added to the Intapp time entry validation process for future prevention.

10. Complete special projects or analysis as assigned.


KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

EDUCATION:

· High school diploma required; college or technical training preferred.


WORK EXPERIENCE:

· Minimum of two (2) or more years related e-billing experience in a large law firm.

· Detailed oriented, with strong written and verbal communication skills.

· Ability to organize and prioritize multiple tasks to meet deadlines.

· Ability to work under pressure in a fast paced environment with various personality types.

· Knowledge of Elite software is highly desirable.
