A not-for-profit seeks an experienced Executive Assistant/PA to support the EVP/CFO in unison and with other staff members within a medical facility. Qualified candidates will have a Bachelor’s Degree, minimum of 5 years of experience as an assistant supporting a EVP or Director and be able to commute to Suffolk County.
The role is 5 days on site - 4 days in Jamaica, Queens and 1 day in Suffolk County
Responsibilities
- Manages daily office operations.
- Confidential assistant and communicates sensitive information to Administration.
- Maintains calendars of EVP/CFO in unison with two facility offices, keeping him abreast of all pertinent matters, and coordinating all meetings.
- Routing documents for signature, maintaining files and ordering all supplies and equipment.
- Direct contact for all staff for inquiries and complaints.
- Direct contact for personnel regarding vouchers for parking, maintain accurate parking records.
- Maintains and update insurance bills, obtain COI’s, distribute vehicle insurance cards and titles.
- Handles Malpractice Insurance Payments in an efficient and timely manner.
- Handles Kronos timekeeping for payroll.

Required Education:
- Bachelor's Degree, required.

- Proficient in Microsoft Office suite
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
