Ultimate Staffing is seeking a Client Services Manager for a leading facilities services company based in Irvine, CA. Deliver white-glove service to our customers through exemplary project coordination services & best-in-class client communication.
Project Coordination
Coordinate all aspects of work orders for our client's locations across the country. Serve as the central point of contact between various teams, including suppliers, site managers, corporate headquarters, and internal staff. Establish and adhere to project timelines, milestones, and budgets, while monitoring and reporting on progress throughout the process.
Client Satisfaction
Ensure top-level client satisfaction through clear communication and proactive problem-solving. Anticipate customer needs and provide solutions that enhance their overall experience.
Estimating
Prepare precise cost estimates for projects, considering labor, materials, and other cost factors. Analyze project specifications to determine requirements and associated costs.
Vendor Coordination
Identify and select appropriate vendors and suppliers for each work order. Negotiate pricing and lead times with vendors to optimize cost-efficiency and project completion time. Cultivate strong relationships with vendors to ensure smooth project execution.
Purchasing & Order Tracking
For each work order, determine the required materials, their cost, and quantities. Issue purchase orders to the appropriate suppliers and track deliveries to ensure accurate and timely fulfillment.
Troubleshooting & Problem Solving
Identify and resolve project-related issues and challenges proactively and efficiently. Use analytical and technical skills, along with external resources, to overcome obstacles quickly. Collaborate with team members to implement solutions and minimize project disruptions.

Skills and Qualifications

* Quantitative skills and basic business math
* Fluency in Google Office and Microsoft Office suite
* Fluency in Project Management software, ERP systems, or other service & management software platforms
Education and Experience
* Bachelor's Degree from a four-year college or university
* 3+ years of coordination experience
* Experience in facilities maintenance or construction industries is a major advantage. Facilities or property management, services-based contracting, operations centers or another technical field is a plus. Other applicable backgrounds include project or event coordination, vendor relations, project management, project-based customer service, or other highly administrative work environments
