ABOUT THE JOB

The Compliance Specialist will provide direct organizational support through the execution of legal and compliance activities to import, store and distribute alcoholic beverages, specifically wine, across its appointed distribution network. This position will manage and perform all day-to-day legal and compliance matters, such as, but not limited to, licensing and registrations, import and export requirements, facility registrations, new brand development and on-boarding, price postings, label and formula approvals & researching and analyzing customer and employee compliance questions. This position will be based in Napa, CA, report to the Director, Operations, and work collaboratively across all Operations, Sales & Marketing functions.

ESSENTIAL FUNCTIONS/THE DAY-TO-DAY

  • Execute key compliance requirements in each country, state, municipality, and market we serve, with a focus on delivering a high level of client service throughout each process.
  • Coordinate compliance schedule across all subsidiaries to maintain state licensing, price postings, brand registrations, & Formula and Label approvals with the Alcohol and Tobacco Tax and Trade Bureau (TTB).
  • Work closely with Marketing, Sales, and Operations teams to facilitate the timely execution of various product innovations and projects.
  • Build effective working relationships with State and Federal regulatory agencies and internal stakeholders.
  • Assist Corporate Counsel in trade practice advisory services to all subsidiaries through market research and thought leadership.
  • Review packaging and marketing materials to ensure they meet Federal and State requirements.
  • Provide compliance guidance in regard to Federal or State excise and file associated shipment reports with applicable state excise tax boards.
  • Proactively identify any potential compliance gaps or future discernable issues.
  • Review any proposed sales or marketing programs for legal compliance.
  • Manage Compliance related Master Data within ERP System (Microsoft Business Central), such as entering and updating product specifications, brand registrations, COLA ID’s, etc.
  • Setup products within distributor portals, where required.
  • Assign and/or manage UPC and SCC information for all products, apply for and manage NABCA Codes, record Control State Codes with assistance from person doing the Control State Quotes.
  • Assist with ad-hoc reporting requested by the sales and management teams.
  • Coordinate legal compliance for alcohol shipments across subsidiaries (FedEx, UPS, USPS, ETC.).
  • Manage the Import/Export compliance process and license(s).
  • Maintain up-to-date state permits, liquor licenses, and bonds.

Education & Experience:

  • 5+ years of professional experience in alcoholic beverage compliance.
  • Bachelor’s degree preferred or equivalent experience.
  • Familiarity with alcoholic beverage compliance and compliance software programs a plus, such as ShipCompliant

Skills:

  • Outstanding time management skills, ability to multi-task and prioritize work.
  • Comfortable working in a very fast-paced environment.
  • Great communication skills and an ability to think on your feet.
  • Proactive, self-motivated, takes initiative and ability to work with little supervision.
  • Experience with Microsoft Business Central a plus
  • A passion for taking the initiative and follow-through to get things done.
  • Team player with a positive attitude; flexible to adapt to changing needs/priorities.

Physical requirements:

  • Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards.
  • Lifting and carrying: this role may involve lifting and carrying product samples, promotional materials, or demonstration equipment up to 50 lbs.
