Overview:
We are seeking a highly motivated and experienced Construction Controller/ Assistant to oversee financial management and accounting functions within a restoration and facility services company. The Controller will play a critical role in ensuring accurate financial reporting, compliance with regulatory requirements, and strategic financial planning to support the mission of providing responsive construction restoration to Communities. The ideal candidate will work closely with company leadership and the Operations team, assisting with a variety of tasks primarily focused on accounting, finance and bookkeeping in addition to other duties and projects.
Primary Role:
- Support the Management Team (Owner, President, CFO)
- Provide accurate and timely financial reporting.
- Oversee and manage financial controls, including documenting and monitoring related business processes.
- Collaborate on and implement strategic initiatives developed with the leadership team.
- Manage tax, and business compliance including sales tax and income tax, and business insurance requirements, and audits.
Specific Responsibilities:
Accounts Payable and Receivable
- Manage and direct accounts payable and receivable processes to maintain accurate records and timely processing of all general accounting functions including fixed assets, invoices, payments, and collections.
- Manage the collections process, ensuring timely collections of accounts receivable and clear communication with customers.
- Job costing including accounting software processes
- Organize and manage vendor relationships ensuring timely bill pay and communicating regularly with vendors.
- Receive and open mail with an ability to interpret and understand the appropriate level of urgency for communicating with the rest of the team.
Compliance and Regulatory Reporting:
- Ensure accurate and timely compliance with relevant laws, regulations, and funding requirements.
- Ensure timely and accurate tax compliance related to applicable statutory requirements, including but not limited to federal, state, and local income, real and personal property, franchise, sales and use and other taxes in all jurisdictions in which the company operates.
- Manage state and local sales tax requirements including tax collections and filing.
- Manage workers comp insurance audit.
Monthly Close:
- Prepare and manage monthly bank, credit card and loan reconciliations including making journal entries.
- Implement and maintain effective financial systems, processes, and internal controls to safeguard assets and ensure accuracy and integrity of financial data.
- Investigate irregularities and communicate with operations and leadership outstanding items.
Financial Reporting and Analysis:
- Prepare and analyze financial statements, budgets, forecasts, and other financial reports to provide insights and recommendations to senior management.
- Monitor financial performance, track key financial metrics, and report on variances to budget.
Cash Flow Management:
- Manage cash flow, ensuring adequate funds for operational needs and capital projects while maximizing investment opportunities.
- Oversee cash disbursements, collections, and timely payments to vendors, contractors, and other stakeholders.
- Business Process
- Participating actively in business process improvement projects.
Qualifications:
- Bachelor of Science Degree in Accounting, Finance, or related field.
- 5+ years of progressive bookkeeping, accounting and finance experience.
- Experience and willingness to perform the end-to-end tasks throughout an accounting function, and work independently as a team of 1.
- Experience in facility services, construction, or related industry is highly desirable.
- Experience with QuickBooks Desktop, QuickBooks Online and Excel is preferred.
- Excellent analytical, communication, and leadership skills with the ability to interact effectively with diverse stakeholders.
