The Senior Procurement and Vendor Management Specialist will support the Director in the processes of obtaining the best value for the materials, goods, and services while maintaining the highest ethical standards in dealing with its suppliers.

ORGANIZATIONAL AND REPORTING RELATIONSHIP: Reports directly to the Director of Business Operations

ESSENTIAL JOB FUNCTIONS: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential job functions:

•Support in charting the course in sustainable cost savings and efficiency in the practice of procurement.

•Develop procurement strategies in collaboration with senior leadership and execute to completion in alignment with corporate objectives and goals.

•Assist in implementing policy and procedure around procurement and P2P processes.

•Support the management of material, goods, and service agreements for the company.

•Manage the continual evaluation of national vendor partners, relationships and performance.

•Act as a Coupa Administrator for all entitlements (purchasing, expense, travel, and analytics)

•Conduct training sessions for corporate and community team members on purchasing best practices and using our P2P system.

•Act as the vendor manager for the organization.

•Review and monitor existing agreements and ensure compliance to those agreements.

•Proactively identify areas of opportunity for new business opportunities, (to include ancillary products, goods, services, technologies, and modalities for seniors,) process improvement, and cost efficiencies.

•Partner with the legal team to monitor, evaluate, and track all contracts at the community and corporate level.

•Manage contract development, finalization, and administration in collaboration with the legal team.

•Support community leadership and communicate with the communities, often and frequently, in order to facilitate and enhance the local planning processes of procurement and vendor management.

•Work closely with key stakeholders in both Corporate and the communities to develop effective cost reduction strategies and implementation plans.

•Support the renewal, review, and maintenance of purchasing contracts; and evaluate and negotiate contracts with vendors.

•Manage the relationship and work with various Group Purchasing Organizations (GPOs) to ensure the organization is maintaining the most leveraged pricing from vendors – driving the best quality, customer service and price. Monitor the GPOs to ensure they are performing in accordance with their contract.

•Maintain the list of the required, preferred, and approved vendors that the organization may purchase products, goods, and services from.

•Manage the relationship with suppliers (corporate-level agreements); conduct business reviews on a regular basis and actively review spend reports to ensure ongoing alignment with current vendors and to identify new supplier opportunities.

•Build new and manage existing purchasing programs for our communities.

•Provide guidance and ongoing support in terms of vendor selection, onboarding to our communities.

•Review areas of cost savings that can be offered to team members and/or residents.

•Comply with applicable federal, state, and local laws, rules, and regulations; maintain knowledge of and follow all company policies and procedures. Understand CMS requirements of participation, and State and local jurisdiction requirements on such things as; PAR levels.

•Obtain knowledge and demonstrate the principles of person directed care, and successful aging philosophies and their inherent core values of commitment, respect, compassion, dedication, teamwork, and quality. Team member will support, actively participate, and act in accordance with the principles of the service culture and be familiar with and fluent in the language and service pillars.

•Maintain regular and punctual attendance at work and meetings.

JOB REQUIREMENTS:

•Bachelor’s degree in business, supply chain, or related field

•Three to five years progressive purchasing experience

•Vendor management experience

•Coupa P2P or other P2P system experience


KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

•Experience with supplier networking, and basic understanding of contract negotiations.

•Successful working with little supervision while prioritizing multiple responsibilities on a consistent basis.

•A supply chain Guru, who has a good understanding of the procurement processes, and project planning.

•Experience leading end-to-end vendor management.

•Accomplishments with supporting matrixed projects and strategic initiatives.

•Advanced knowledge of computers and software applications, including, but not limited to accounting and spreadsheets.

•Knowledge of procure to pay systems like Ariba, Coupa, or NetSuite.

•Solid organizational skills including attention to detail and multi-tasking skills.

•Ability to read, write and speak English sufficient to perform job duties and to interact and communicate with residents, vendors, and team members.

ENVIRONMENTAL AND PHYSICAL ACTIVITY REQUIREMENTS: The physical activities of this position constantly require effective talking, hearing, sitting, walking, and standing functions. The position also often involves sedentary work where sitting is required most of the time, with occasional standing or walking. The position also is often requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Must be able to perform activities with close visual acuity, such as reading a computer screen and reading print material. The functions of this position are conducted in a temperature-controlled environment.

INTELLECTUAL/EMOTIONAL REQUIREMENTS: The occupant of this position must be able to perform the responsibilities of the position well under pressure. The position requires adaptability to performing a variety of duties, often changing from one task to another without loss of efficiency or composure. This position requires the ability to deal with and find resolution to problems and maintain a productive working relationship with team members and may be interrupted frequently to meet the needs and requests of others. It also requires adaptability to fluctuate between priorities daily while being responsive to needs as they arise.
