Job Responsibilities General Responsibility Serve as Administrative Assistant and as a liaison between the Homeland Unit and local, state, federal agencies and other units/sections within the agency. Perform administrative functions for supervisor as authorized or delegated.
Specific Duties - Perform administrative functions within the Active Shooter/CCTA Unit including processing incoming/outgoing mail, preparing memorandum and correspondence, and preparing reports. Develop and maintain accurate lists of customers, collect and maintain contact lists, and make them available electronically to the unit. Keep attendance lists and records for all meetings and facilitates the setup and execution of meetings, including conference calls. Maintain records of events to include: personnel and instructor training, exercises, and conferences, etc. Build shopping carts for the procurement of equipment, training, supplies, etc. Record events, collect data in spreadsheets.
- Maintain schedules and calendars for Active Shooter/CCTA. Support planning and scheduling of events. Coordinate the collection and filing of travel vouchers, time sheets accordance with grant regulations. Handle all incoming correspondence, telephone calls, and visitors, while maintaining a high degree of professionalism. Responsible for ordering CCTA supplies, pick-up and delivery of supplies. Also responsible for placing orders (for equipment, etc.) on SCEIS as directed. Maintain working knowledge of grant regulations to support procurement and to provide grant information to leadership.
- Support the development, implementation and tracking of Active Shooter/CCTA capability assessments and data. Analyze data to see trends and gaps. Provide gaps to leadership for resolution.
- Maintain and update the unit's inventory list. Restock equipment and supplies. Make sure equipment is being maintained and serviced. Prep equipment for training use and supports the cleaning and restoration of used equipment. Build shopping carts to assist the Unit in the procurement process, support restocking of equipment and supplies.
- Aid and support active shooter training, exercises, drills, and logistics. Assist in the organization and distribution of equipment required to support various training activities. Support training and classroom activities. Track all planning activities, personnel training and credentialing, equipment, supplies, training and exercises. May be required to assist with, support, or provide training to outside organizations.
- Coordinate and perform all other administrative duties as required.
Minimum and Additional Requirements - A Bachelor's degree and relevant experience in business management, public administration, or administrative services OR an Associate's degree and commensurate training/work experience.
- A working knowledge of the functions in office management, and knowledge of modern office practices, procedures and equipment.
- Must be proficient in various software including Microsoft Excel, Word, Power Point, Office and Adobe.
- Must be able to coordinate diverse administrative functions and be able to plan and organize.
- Must possess strong written and organizational skills.
- Working knowledge of tracking and managing statistics and large amounts of data desirable.
- A low error rate in the production of contact lists, filing of documents, in the production of folders, data and computer entries is expected.
- Some lifting, walking, driving, and overnight/out-of-state travel will be required.
Preferred Qualifications Some experience with training, logistics, procurement, state purchasing, statistics, or similar.
