We are seeking a Project Administrative Assistant. The ideal candidate has excellent interpersonal skills, is detail-oriented, loves working with a dynamic team, is skilled at juggling priorities, and communicates well. We will depend on this team member to be responsible, reliable, quick, and accurate, with a willingness to support a variety of project assignments with a can-do attitude. Preferred qualifications include experience with calendaring, meeting/event planning, and general project and team support.
Key Functions
- Proactively manage heavy calendar activity by resolving conflicting demands, scheduling/rescheduling meetings.
- Assist with coordinating onsite and offsite special events (e.g., booking facilities, catering).
- Prepare materials for presentations or reports using various software applications.
- Provide administrative support for the project team, as needed.
- Assist with purchasing and invoicing processes for IT operations, as needed.
- Maintain team distribution lists and manage SharePoint, Teams, and Smartsheet documents/access.
- Schedule and update meetings for the project team.
- Manage the project team inbox and respond to messages, as necessary.
- Draft communications for the project team.
- Make updates to SharePoint and build new pages.
- Update dashboards in Smartsheet.
- Update the project team directory based on resource changes.
Qualifications
- High School diploma/GED (or higher).
- 1 to 2 years of relevant work experience documented with an attached resume.
- Excellent computer skills including MS Office – Word, Excel, PowerPoint, Outlook (e-mail & scheduling), and SharePoint; with the ability to learn company-specific programs.
- Energetic, positive, and motivated team player with strong communication skills (written, listening, and oral) and a desire to learn new tasks.
- Ideal candidate is a self-starter, shows initiative, and can work effectively both independently and as part of a team.
- Detail-oriented and comfortable working in a fast-paced environment.
- Exhibit professionalism in handling sensitive and confidential information.
- Ability to work under pressure while prioritizing and organizing multiple tasks simultaneously with minimum supervision.
COMPENSATION AND BENEFITS
Hourly contract rate range of $32.00 to $40.00 based on experience and qualifications, as well as geographical market and business considerations.
