Human Resource Assistant
Hybrid/3 days a week in office
Alexandria VA
$45,000 to $52,000*

Do you have excellent communication skills, and the desire to work from home 2 days a week? As our HR Assistant , your primary goal will be to assist in managing essential administrative functions, maintaining employee records, assisting in HR-related activities and ensuring smooth day-to-day operations.
Your day to day activities will grow to include the following essential duties and responsibilities:
HR & Office Administrative Functions:

  • Ensuring the accurate and timely submission of Form I-9 documentation before initiating the E-Verify process.
  • Leverage the onboarding system and work effectively with hiring office personnel to finalize new hire documentation and onboard new hires into the HRIS system before the bi-weekly payroll processing deadline.
  • Processing personnel actions, (like changes in classification, salary adjustments, promotions and terminations) using HRIS and other software programs.
  • Maintaining personnel files and other HR records in strict compliance with regulatory requirements and company policies.
  • Administering employment and wage verification processes, liaising with federal investigators as needed.
  • Managing and overseeing new hire reporting and unemployment claim responses across all states.
  • Providing comprehensive administrative assistance and support to the HR Department by drafting and distributing internal and external communication materials as required for various initiatives.
  • Handling sensitive and confidential documents and situations with discretion and professionalism.
  • Maintaining office supply inventory to support corporate office needs.
Benefits Administration Functions:
  • Assisting in coordinating and managing the Annual Enrollment process.
  • Providing timely support to employees by addressing inquiries related to health and welfare benefits, eligibility, payroll deductions, and other benefits-related concerns.
  • Building and maintaining strong relationships with benefit carriers, resolving coverage discrepancies through direct communication and using carrier websites for benefits administration.
  • Assisting with the annual 401(k) audit by compiling required documentation.
  • Processing payroll deduction changes for benefits and answer basic plan-related questions, referring complex inquiries to the HR Director or the appropriate carrier/vendor.
Qualifications required for success include:
  • Must be US person with ability to accept direct W2 hourly employment
  • 1 + years of proven experience in an administrative Human Resources role or internship.
  • A bachelor's degree in human resources, business administration, or a related field. Will consider candidates with associates degree if coupled with 2 years experience and HR certification(s) that provides equivalent knowledge, skills and abilities.
  • Knowledge of practices related to benefits a plus
  • Ability to handle sensitive and confidential documents and situations with discretion and professionalism.
  • Exceptional written and verbal communication skills, with a polished and professional demeanor.
  • Strong ability to work independently while also thriving in collaborative team settings.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HR software (CostPoint preferred).
  • PHR or SHRM-CP Certification preferred.
  • Experience administering benefits for both contract and full time employees a plus.
