Salary Range: $61,000 - $71,000 commensurate with experience

The Executive Assistance for MOEDI is an equity-focused professional who values people and relationships. This team member will have a passion for and experience in providing high-level administrative support for executives who need to prioritize, balance and strategically manage time, communication and efforts. This Executive Assistance (EA) will have experience with complex scheduling and developing communications for senior organizational leaders, meticulous attention to detail and be a proactive problem solver.
Duties & Responsibilities These are typical responsibilities for this position and should not be construed as exclusive or all inclusive.
- Performs a variety of executive administrative duties including management of office-
wide activities and schedules; develops and recommends office policies, procedures and systems; ensures smooth office operations; assists in preparing off-site engagements for the Chief Equity Officer including travel, speeches and other prep materials.
- Proactively manages the CEO's complex calendar including coordinating travel arrangements, handling confidential communications, scheduling meetings, appointments and calls including time zone considerations, preparing presentations, acting as a gatekeeper for their time, and providing administrative support while prioritizing urgent matters and maintaining strict confidentiality, all with the goal of ensuring the CEO's efficiency and productivity in high-level business operations.
- Serve as a liaison between MOEDI and external partners and manage the engagement with large, complex and/or diverse city departments.
- Supervise clerical and other support staff.
- Process financial transactions on behalf of the team and manage expense and budget reports for the Chief Equity Officer.
- Helps create and ensure accuracy of written communications and reports; drafts correspondence, memos, presentations, and/or other documents from notes, dictation and other sources.
- Independently responds to letters and general correspondence of a routine nature in support of the executive and/or Office as a whole.
- Receives and screens all communications including telephone calls and email messages and provides assistance using independent judgment to determine messages that require priority attention.
- Keeps the executive apprised of upcoming deadlines or urgent requests, and initiates follow-up actions as appropriate.
- Support and implement the technology and production for virtual meetings.
- Participates and assists in the development and administration of assigned department budget; performs related duties and fulfills responsibilities as required.
- Support intern selection and support as needed.
