JOB TITLE: Public Grants Administrator DEPARTMENT: Finance REPORTS TO: Chief Operations & Financial Officer (COFO) PAY RANGE: $25.00 to $30.00/hour depending on experience and qualifications, + 4 weeks of vacation leave along with 12 sick days and 2 personal days per year, 100% employer-paid medical, dental, vision, life insurance and long-term disability for employees, access to LinkedIn Learning Professional Development, 401(k) with employer match, and EAP; access to onsite workout facility. JOB SUMMARY:Big Brothers Big Sisters of Puget Sound seeks a Grant Administrator who wants to make a difference in their career by supporting a growing organization that is dedicated to positively impacting youth through 1:1 mentoring relationship in the community, workplaces, and schools in King and Pierce Counties. The Grants Administrator will be responsible for managing all aspects of public grants once they are received until they close. This role involves ensuring compliance with public grant requirements, tracking grant expenditures, and coordinating with various departments within Big Brothers Big Sisters of Puget Sound, including Accounting, Programs, and Philanthropy. The ideal candidate will have experience administering Federal; Washington State; King, Pierce, and Kitsap counties; and municipal grants. The candidate should also have strong organizational skills, attention to detail, and the ability to work collaboratively across teams. Key Responsibilities:Manage all administrative aspects of the public awarded grants, including tracking and reporting grant finances and project outcomes. Training people in compliance issues. Manage Affiliate organizations (subgrantees) and their affiliated subgrants when we are the primary grantee. Manage subgrantees' compliance within contracts or MOUs. Ensure compliance with all grant reporting requirements as stipulated by grantors. Coordinate with Accounting to monitor grant expenditures and ensure they align with approved budgets. Work closely with Programs to ensure grant-funded projects are progressing as planned and meeting their objectives. Collaborate with Philanthropy to maintain relationships with grantors, provide updates on grant-funded activities, and ensure that Community Philanthropy forecasts align with Finance. Develop and maintain records of grant activities, including financial reports and project outcomes. Provide training and guidance to staff on grant management processes and compliance requirements. Stay updated on changes in grant funding policies and procedures. Requirements Bachelor's degree in a relevant field (e.g., Business Administration, Finance, Public Administration). Minimum of 3-5 years of experience in grant administration or management. Strong understanding of grant compliance and reporting requirements with Federal, State, County and City governments. Understanding grants from foundations and businesses is also helpful. Excellent written and verbal communication skills. Proficiency in using grant management software and tools. Strong organizational and project management skills. Understands deadlines and the need to manage people and information to meet those deadlines. Ability to work independently and as part of a team. Preferred Qualifications:Fluency in Salesforce, Excel, Power Automate, Power BI and other grant tracking software are very helpful. Experience working in non-profit organizations. Proven track record of managing grants under $1 million.
