Job Description
D'Leon Consulting Engineers is seeking a Document Control Specialist in Los Angeles, CA.
Responsibilities
- Receive, process, scan, record, and distribute project documents. These documents include design and construction submittals, requests for information (RFIs), requests for change (RFCs), deliverables, reports, change notices (CNs), deviation requests (DRs), correspondence, invoices, contract documents, and insurance, etc. Track response status and follow-up with reviewers as appropriate to meet required deadlines. Consolidate review comments and proofread responses prior to submission to Lead Engineer for approval.
- Perform data entry into WSP’s ProjectSolve system, Metro’s Unifier system, and
Construction Management Team’s Contract Management Interface/Sharepoint system.
- Upload documents for LA Bureau of Engineering (LABOE) review and approval using its
e2020 website.
- Establish and maintain document control log (DCL), correspondence log and change notice
(CN) log.
- Report submittal, RFI and other data trends using Excel for inclusion in monthly reports.
- Retrieve and reproduce documents as requested by project team.
- Establish and maintain hard copy files and ProjectSolve site files in accordance with
Document Control Procedures.
- Assist in the preparation of the monthly progress report, gathering data for all deliverables
issued on a monthly basis for reporting purposes.
- Assist in the preparation of Subcontract Agreements and collection of sub-consultant
insurance forms pertaining to document control.
Qualifications
- Experience with document control systems, including ProjectSolve and Unifier.
- Proficiency in MS Office programs, including Word, Excel and OneDrive.
- Demonstrated ability to adapt to changing priorities in a fast-paced environment.
- Leadership, communication, and organizational skills.
- Previous Metro experience desirable.
- Bachelor's Degree preferred and four years of professional experience in document
control, configuration management or engineering or High School diploma or equivalent
with six years of experience.
