Role Overview : You will play a pivotal role in supporting senior executives, ensuring the smooth and efficient operation of the agency. You will act as a liaison between executives, clients, and teams, and manage critical administrative functions. This position requires a proactive, organized, and detail-oriented individual who thrives in a fast-paced, dynamic environment.
Executive Assistant Responsibilities:
- Schedule and manage appointments, meetings, and travel arrangements for senior leadership. Prioritize and resolve scheduling conflicts.
- Handle all incoming and outgoing communications (calls, emails, etc.) on behalf of executives. Filter messages and respond or redirect as necessary.
- Arrange travel itineraries, accommodations, and transportation for executives, ensuring all details are taken care of.
- Prepare meeting agendas, presentations, and relevant documents. Ensure executives are prepared with all necessary materials for internal and client meetings.
- Coordinate and communicate with clients, agencies, and vendors on behalf of executives, ensuring timely follow-ups and smooth execution of projects.
- Process and track expenses, including corporate credit card transactions and vendor invoices.
- Provide administrative support on special projects, ensuring timelines are met and tasks are completed.
- Work cross-functionally with different departments (creative, accounts, media, etc.) to support the execution of agency projects.
- Handle sensitive information with the utmost discretion and professionalism.
Executive Assistant Qualifications:
- At least 3-5 years of experience in an executive assistant or administrative support role, preferably in a fast-paced advertising, media, or creative environment.
- Bachelor’s degree in business administration, communications, or a related field (preferred).
- Excellent organizational and time-management skills, with the ability to manage multiple tasks simultaneously.
- High attention to detail and ability to work under pressure in a dynamic environment.
