Job Description

Top three required technical skills:

1. High level of profiency with Excel and SharePoint

2. Past Microsoft Experience is not required but is desired.

3 Recruiting support, administrative, and or event planning experience

Responsibilities will include (but are not limited to):

Recruiting Assistant

  • Assist staffing program manager with offer and hiring process.
  • Tracking and process hires in internal tools.
  • Data entry of candidate information and records
  • Update offer information
  • Partner with intern staffing PM on staffing projects as needed.
  • Welcome interns on day of arrive (1-60 every Monday)/Attend Intern New Intern Orientation (NIO)

Intern Operations

  • Headcount tracking/management
  • Team SharePoint Site maintenance/calendars
  • Support intern inquires and/or direct them to correct resources.
  • Providing top notch support to team members by taking their requests and determining proper next steps to drive task to completion.
  • Assist interns with processing and preparing expense reports.


Event Coordination and Support (as appropriate – this is not the main part of the job)

  • Event planning support
  • Track and manage invite responses/waitlist management.
  • Procure and reserve venues.
  • Ordering and coordinating of catering
  • Onsite event support, as appropriate
  • Swag ordering and tracking.


Special Project Support

  • Assist team members with ad-hoc administrative tasks.
  • Assist with special projects as needed

This position requires someone who is well organized, has excellent communication skills, the ability to set priorities and handle high volume and multiple tasks simultaneously with little direction. The ability to respond in an appropriate manner to a rapidly changing environment is important to the success of the role.

The ideal candidate must be extremely detail-oriented, and, given the extremely fast pace of the team, must be masterful at prioritizing and executing quickly with high energy and a professional attitude. This person must have high integrity and be able to handle confidential information appropriately.

  • Recruiting support, administrative, and or event planning experience is a plus.
  • Project management a plus.
  • Experience with iCIMS a plus.
  • Experience with Microsoft Suite a plus

Position: Technology & Research Ops and Project Management

The T&R Business Operations and Initiatives (BOI) team provides operational support to T&R via financial management, space management, governance, and key collaborative initiatives including the Research PhD Intern program, hiring 400+ interns annually.

Responsibilities will include (but are not limited to):

  • Business Management
  • Weekly/monthly Headcount reporting and data analysis
  • Budget tracking and reconciliation
  • Drive cadence for various organizational governance efforts, including reporting and evaluation
  • Data integrity management in various systems
  • Comms and Team SharePoint updates


  • Project Management
  • Coordinate and facilitate building improvement projects
  • Planning and coordination of large-scale seating restacks
  • Support Return-to-Worksite and Hybrid Workplace efforts
  • Drive end-to-end implementation of ad hoc efforts, e.g. inventory control
  • Event planning including venue selection, procurement, attendance tracking, and on-site event support


  • Onsite Support
  • Coordinate workstation setups with Facilities and Technology teams
  • Building support, including facilities requests, delivery acceptance, supplies management
  • Ad hoc support as needed, including shipping, onboarding support, recruiting assistance, etc.


Preferred Qualifications:

  • Previous Microsoft Experience (University recruiting experience a plus).
  • Prior administrative or event experience is a plus
  • Highly proficient in Excel
  • SharePoint admin experience
