Job Title: Administrative Assistant 3

Job Summary:

We are seeking a highly skilled Administrative Assistant 3 to provide advanced administrative and clerical support to the Procurement Department. This role requires independent decision-making in planning, organizing, and scheduling tasks while supporting the daily operations of a team of four. The ideal candidate will possess expertise in administrative functions and contribute to the overall efficiency of the department.

Key Responsibilities:

• Make independent decisions regarding the planning, organizing, and scheduling of complex administrative support tasks.
• Coordinate, integrate, and implement assigned administrative or staff functions.
• Provide guidance, assistance, and training to lower-level employees as needed.
• Solicit, collect, and organize documentation and data, performing moderately complex data entry into one or more systems.
• Apply detailed knowledge of departmental operations, policies, and procedures to carry out administrative processes.
• Address complex clerical, administrative, technical, or customer support issues with minimal supervision, escalating only the most intricate issues to appropriate staff.
• Handle payment detail inquiries from vendors and assist with resolutions.
• Perform additional duties as assigned.

Minimum Qualifications:

• High school diploma, secondary education level, or equivalent.
• Four years of related work experience.
• 10-key data entry experience.
• 2-3 years of office support experience.
• Experience in administrative support.

Preferred Qualifications:

• Proficiency in Microsoft Office (Word, Excel, Outlook).
• SAP experience is highly beneficial.
• Experience resolving payment detail inquiries from vendors.
