Job Description:
The Administrative Assistant will play a key role in providing advanced administrative support to the Procurement Department. This position requires an experienced professional capable of making independent decisions, planning, organizing, and executing complex tasks efficiently. The role involves handling a variety of clerical, technical, and customer support responsibilities while ensuring seamless departmental operations.
Key Responsibilities:
- Coordinate, integrate, and implement assigned administrative or staff functions with minimal supervision.
- Make independent decisions regarding planning, organizing, and scheduling administrative support for the Procurement Department.
- Provide guidance, assistance, and training to lower-level administrative staff.
- Solicit, collect, and organize documentation and data; perform moderately complex data entry into systems with proficiency in 10-key data entry.
- Apply detailed knowledge of department operations, policies, and procedures to perform administrative processes effectively.
- Handle complex clerical, administrative, or customer support issues and escalate only the most complicated matters to the appropriate staff.
- Support procurement department staff of four by managing payment detail inquiries from vendors, resolving issues, and facilitating efficient operations.
- Maintain office organization and perform other duties as assigned.
Minimum Qualifications:
- High school diploma, secondary education level, or equivalent.
- Four years of related administrative or office support experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and communication skills with a high level of attention to detail.
- 10-key data entry experience.
