(CAA) is seeking a detail-oriented, organized, and proactive Operations Assistant to join our team. This full-time, salaried position plays a pivotal role in supporting CAA’s day-to-day operations, ensuring seamless execution of administrative, financial, and member service functions.
About the Role:
As the Operations Assistant, you will report to the Vice President of Finance & Operations and provide comprehensive support in key areas such as office administration, bookkeeping, member services, event planning, and public relations. Your role will be essential in maintaining smooth operations and contributing to CAA's mission of advancing and protecting the cigar industry.
Responsibilities:
- Office Administration: Manage contact lists, calendars, and filing systems; draft correspondence and reports; and provide general administrative support.
- Bookkeeping Support: Assist with basic accounting tasks, including accounts receivable/payable, expense tracking, reconciliations, and month-end closings using QuickBooks and Excel.
- Member Services: Update directories, communicate with members, and provide exceptional support to member companies.
- Event Planning: Help organize events, manage RSVPs, and assist with logistics for the annual meeting and other events.
- Public Relations: Support social media, website updates, and communication campaigns, preparing documentation and assisting with outreach efforts.
- Miscellaneous Support: Contribute to advocacy programs, economic insights, and other initiatives as needed.
Qualifications:
- Bachelor's degree.
- 2+ years of experience in office administration or a similar role.
- Proficiency in Microsoft Office (especially Excel); familiarity with QuickBooks is a plus.
- Strong attention to detail and accuracy in financial and administrative tasks.
- Excellent interpersonal and communication skills.
- Proven ability to manage multiple priorities in a dynamic environment.
- Self-starter with a collaborative mindset and positive attitude.
