Role Description
The Production Coordinator is a highly organized and detail-oriented professional who
plays a critical role within the production team. Reporting to the Production Manager, this role is
responsible for managing all diamond inventory and special orders while ensuring exceptional customer
service standards are maintained. The coordinator oversees the entire special order process which focuses primarily on our bridal department including processing special orders from inception to completion, taking in and evaluating both customer and store-owned diamonds. This position requires strong organizational
skills, attention to detail, and extensive knowledge of jewelry construction, custom design, and gemstone
handling. A proactive approach and excellent communication abilities are essential for success in this
dynamic and fast-paced role.
Primary Responsibilities
- Submit all special orders with specifications and due dates with accuracy
- Get confirmation delivery dates for every special order
- Receive in all special orders and quality check castings and diamond inscription verification
- Review CAD’s for customized orders, liaise with the salesperson to obtain approval, submit changes and ensure timelines are met
- Source side stones such as tapered baguettes, trapezoids, fancy-shaped diamonds, or colored stones for Special Orders as needed.
- Use gemological expertise to independently grade diamonds and gemstones and assign appropriate retail replacement values.
- Coordinate repairs of special orders as needed.
- Monitor pricing and margins. Update pricing across all channels as needed.
- Regularly communicate with vendors to ensure retail pricing is current and accurate.
- Special projects and custom design support as needed/directed by Production Manager
Gemstone Management
- Receive diamonds and gemstones sourced by the Production Director and Manager and input into inventory to prepare for Sales Associate
- Maintain short and long term memo pricing up to date as directed by Production Manager
- Return diamonds and gemstones not being utilized in special orders; Verify diamonds against the certificate using gemological expertise
- Conduct weekly detailed inventory of diamond/gemstones
Product Knowledge & Expertise
- Maintain strong knowledge of fine jewelry materials, gemstones, and diamonds, staying up-to-date with industry trends.
- Ensure accurate and professional communication regarding product details, availability, and care.
Operational Excellence
- Utilize CRM systems to manage client orders, track order progress, and meet timelines.
- Maintain high attention to detail in handling transactions, documentation, and diamonds.
- Demonstrate agility in using computers and other tools to support daily operations.
- Collaborate with team members to support the overall success of the store, embodying a company-first mentality.
Team Collaboration
- Foster a positive and supportive work environment, sharing knowledge and best practices with colleagues.
- Work proactively with the team to meet store-wide goals while maintaining individual accountability.
Experience & Education
Experience:
- 2–3+ years of direct experience in fine jewelry sales, including working with engagement rings and wedding bands
- Strong knowledge of fine jewelry materials, gemstones, and diamonds
- Ability to verify diamonds against certificates and read diamond inscriptions
Education:
- Bachelors Degree
- Preferred: Certifications such as Applied Jewelry Professional (AJP), Graduate Diamonds Diploma (GDD), or Graduate Gemologist (GG) from the Gemological Institute of America (GIA) or equivalent institutions.
Workdays & Hours:
- Monday – Friday: 9:30-6pm
