JOB DESCRIPTION:
We are seeking an experienced IP Litigation Practice Assistant to provide high-quality administrative and secretarial support to attorneys. This role is ideal for a professional, organized, and motivated individual with exceptional writing, communication, and software skills. The position requires expertise in litigation-related assignments, familiarity with Federal Courts, and the ability to manage multiple responsibilities effectively.
RESPONSIBILITIES:
- Assist IP litigation attorneys with litigation-related tasks, including drafting pleadings, discovery, correspondence, and court filings.
- Prepare documents for electronic filing in Federal Courts and assist with post-grant patent proceedings before the Patent Trial and Appeal Board (PTAB) and Trademark Trial and Appeal Board (TTAB).
- Support unfair import investigations with the International Trade Commission, if required.
- Prioritize and manage assignments, preparing sensitive correspondence and reports.
- Draft legal documents, forms, and presentations using advanced knowledge of MS Office Suite and other software tools.
- Conduct PACER searches, maintain attorney calendars, and manage litigation timelines.
- Create and organize litigation binders, mark and compile Tables of Authorities, and provide trial support.
- Proofread and edit legal and non-legal documents for accuracy and professionalism.
- Schedule appointments, manage travel arrangements, and maintain business calendars.
- Handle billing tasks, including preparing bills for mailing, maintaining records, and entering attorney time.
- Perform general office duties, such as collating, assembling, and distributing documents.
- Maintain confidentiality and foster positive relationships with internal and external stakeholders.
QUALIFICATIONS:
- A minimum of 5 years of experience as a Litigation Legal Secretary.
- College degree or equivalent work experience required.
- Proven experience with litigation in Federal Courts.
- Knowledge of PTAB, TTAB, and ITC matters is preferred but not required.
- Advanced proficiency in MS Word and Outlook, with the ability to learn and use additional software applications.
- Familiarity with FileSite, ECF (Electronic Court Filing), and Best Authority.
- Strong proofreading and document drafting skills, with attention to detail and accuracy.
- Excellent communication skills, organizational ability, and the capability to work with multiple attorneys and prioritize tasks effectively.
- Availability to work overtime, when needed.
