Our client, a successful general contracting company w/ a focus on high-end commercial interior buildouts based in Alexandria, VA, has engaged us to place a high-level, professional, proactive, solutions oriented & exceptionally organized individual in the newly created role of Executive Assistant (EA) to the President/Co-Founder ( w/ occasional support to the CEO/Co-Founder) . The President is very busy w/ a lot of demands on his time & in need of a strong right hand/gatekeeper/strategic thought partner, w/ an ability to manage multiple priorities in a fast-paced environment. The EA will be entrusted w/ sensitive/confidential information, displaying the highest level of discretion & trust at all times. This is a great, long-term opportunity (for the right fit!) supporting a busy executive, & working w/in a successful, & continually growing company. The EA will provide administrative, logistical & project management support, as well as a small amount of personal support, allowing the President’s focus to be on moving the company’s goals & initiatives forward. The President also has outside interests/ventures, & is involved with a number of charities/organizations that the EA will assist w/ as needed. 


The ideal candidate has a strong business acumen, positive attitude, dedicated work ethic, high personal standards of integrity, is a curious learner, confident, courteous, resourceful, & forward-thinking. A keen interest to learn the inner workings of the business, an exceptional attention to detail, excellent communication skills, an ability to seamlessly multi-task & identify priorities, as well as work well independently & as a team, is essential in this role.


Hours: 8am-5:30pm w/flexibility - employees arrive between 7:45-8:15am & leave between 5-6pm, as the employers are not clock-watchers & believe in treating their team like adults. With exception of a specific projects/activities that might require the EA’s support, there’s minimal need/expectation for after hrs/weekend support. Flexibility is needed to receive communications via email/text/phone outside of normal business hrs, responding to urgent needs immediately, & prioritizing others accordingly (next business day, etc.).

Key Responsibilities Include (not limited to): 

  • Act as a gatekeeper, providing a bridge for smooth communication between the President, his direct reports, the CEO, company staff & outside parties.
  • Act as a "barometer," having a sense for the issues taking place in the office, keeping the President updated as needed.
  • Proactively maintain the President’s calendar, ensuring seamless coordination, he is never double-booked, providing a time buffer in between meetings, & prioritizing the most time sensitive matters as scheduling conflicts & last minute requests arise. 
  • Receive, review, & respond to communications in a timely & professional manner; determine the importance of the communication, summarize, & distribute to the President and/or company personnel. 
  • Build relationships w/ the President’s core team/direct reports.
  • Work closely w/ the President to keep him well informed of upcoming commitments & responsibilities, following up appropriately.
  • Coordinate travel arrangements (business/personal) & logistics for the President (& family as needed), create detailed travel itineraries, submit related expense reports, & prepare him for all travel as needed (ensure he has tickets, photo ID, passport, itineraries, etc.).
  • Monitor the President’s email inbox, filtering emails & prioritizing what needs immediate attention while maximizing productivity, & responding accordingly as needed/directed.
  • Collaborate w/ other departments to gather information & facilitate cross-functional communication.
  • Prioritize inquiries & requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
  • Coordinate internal/external meetings & calls, including scheduling/logistics, gathering background information, drafting agendas, preparing materials/presentations, & sending reminders.
  • Attend meetings as requested (including on behalf of the President when needed), & take/track meeting notes & action items to ensure that follow-through & accountability are maintained.
  • Coordinate special projects that align w/ the priorities of the President & company.
  • Answer the phone, take accurate messages, keep track of President’s whereabouts, & handle urgent calls w/ appropriate judgment.
  • Assist w/ company event planning/coordination, as well as personal/family events for the President.
  • Manage, compose & prepare confidential correspondence, reports, & other complex documents, proofing & editing of all documents to ensure accuracy & consistency.
  • Manage sensitive matters w/ a high level of confidentiality & discretion.
  • Organize/maintain filing systems, & further refine systems & processes to maximize efficiency. 
  • Conduct research on various topics to support the President’s decision-making process.
  • Maintain address list/contacts, & be proactive in recognizing when to send thank you notes & gifts to personal/professional contacts, & recognizing employee birthdays and employment anniversaries.
  • Provide PA support as needed.
  • Liaise w/ personal/business associates, philanthropic contacts & clients as needed. 
  • Other related duties as assigned. 


Experience/Education: 

  • 5+ years EA experience working in a high-paced environment, w/ 2+ years experience directly supporting C-suite/high-level executives. 
  • MS Office (365) proficiency; experience w/ PCs.
  • Bachelor’s Degree ideal, but not required.


Compensation/Benefits: 

  • Base Salary: $125-$150k + performance based bonus up to 10%
