Job Description

The Position

The Legal Secretary is responsible for providing support for attorneys for a general civil practice law firm. Some of the firm’s areas of practice include business law, real estate law, landlord tenant law. Strong candidates should possess strong interpersonal skills and the ability to build relationships with clients, attorneys and staff. Experience in the legal filed is preferred.


Responsibilities

  • Assist with editing and proofreading correspondence, briefs, and other complex documents in draft and in final form
  • Transcribe dictation quickly and accurately
  • Prepare and submit timesheets for billing.
  • Work with office personnel to generate and distribute firm invoices and pay bills.
  • Open new Client/Matter reports, as requested, and arrange for conflict checks.
  • Open and maintain client files, including both physical and electronic files.
  • Prepare and coordinate electronic filings in state and federal courts.
  • Administrative tasks include: answering phones, scheduling meetings/appointments, managing attorney’s schedules, ordering office supplies, coordinating matters with the courts and clients, etc.


Knowledge, Skills & Abilities

  • Ability to communicate effectively, both orally and in writing.
  • Knowledge of court rules for state and federal courts and various court electronic filing procedures.
  • Proficient in the use of software systems such as Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Olympus transcription, and Adobe.
  • Skill in typing and transcribing at a rate of 70 + wpm with a high rate of accuracy.
  • Ability to work independently, prioritize deadlines and work effectively under pressure.
  • Ability to establish good rapport with attorneys, clients, and other staff.
  • Ability to proofread a variety of documents with high attention to detail.
  • Strong organizational skills and work ethic in delivering client products in a timely manner.
  • Possessing an Arizona Notary public is a plus.


The Basics

  • 3+ years of progressively responsible and varied legal secretarial experience.
  • Familiarity with general processes, systems philosophies, structure, methods and approaches to matters within the legal industry from either the court’s or law firm’s perspective.
