The Chief Operating Officer (“COO”) oversees the design, enhancement, implementation, reporting and oversight of the firms’ financial, information security, human resources and compliance departments and functions. Reporting to the President & CEO and working as a key member of the leadership team, the COO leads the building, implementation, and oversight of the firm’s systems, processes and workflows. The COO also plays a critical role in helping to shape the guide the future growth and development of the organization. This role provides management and leadership expertise to assist firm leaders in identifying challenges and opportunities.
POSITION CHARACTERISTICS
The COO must be detail oriented with the ability to effectively delegate to the appropriate team members. Possesses outstanding communications skills both orally and in written form. Proven
leadership experience is critical. Reliable, the COO must be well-organized and able to lead multiple projects simultaneously. The COO will play a key role in anticipating the future needs of the firm.
ESSENTIAL JOB FUNCTIONS
· Support the President & CEO in overseeing the day-to-day business operations of the firm to align with the firm’s strategy and goals
· In conjunction with the President & CEO, design and development of strategic project plans and priorities and facilitate implementation
· Continually search for ways to improve efficiency and client satisfaction to drive growth and increase profitability.
· Work with management and staff to seek out innovation in all aspects of our business.
· Work with President & CEO to seek out, research and evaluate future opportunities for revenue growth.
· Maintain continuous line of communication, keeping the President & CEO informed on all crucial issues.
· Manage all resources required for the business including people, technology and facilities.
· Oversee, direct and organize the work of the Finance team including payroll, accounts payable and financial reporting.
· Create and manage the annual budget as well as having a solid understanding of the firm’s financial reports. Will drive efficiencies to control costs.
· Develop and maintain operational systems and processes. Oversee changes and upgrades to technology and proactively work with internal staff and external partners to ensure that the firm systems and applications continue to be the best available. Responsible for oversight of the firm’s cybersecurity programs.
· Responsible for all aspects of Human Resources including hiring, termination of employment, corrective action, performance reviews and compensation. Ensure that staff members receive timely and appropriate training and developmental support. Planning for future staffing needs.
· Oversee maintenance of, and improvements to, the building and grounds. Responsible for ensuring prompt repairs of facilities and equipment as needed.
· Responsible for insurance renewals (Errors and Omissions, Cyber, Medical, Property). Manage relationships with external vendors and conduct regular reviews to assess service quality and costs.
· Work in conjunction with the Chief Compliance Officer (CCO) to ensure compliance with all applicable rules and regulations as well as internal processes and procedures. Update internal manuals such as the Employee Handbook as needed.
· Organize and direct the activities of the internal Event and Marketing teams and the Employee Council.
· Maintain effective and collaborative relationship between the firm and its parent company, projects of mutual interest and benefit, and serve the company Board of Directors as required.
· Participate in industry and or custodial events and or conferences
· Other activities as required to assist and support the President & CEO.
Location: Hybrid- 4x a week in Essex office
Salary: 100-150k
