Job Description

Availability: Monday - Friday, typical office hours. Hybrid schedule aligned with the team; currently in the office 2 days per week. Those days are somewhat flexible to the candidate's preference, and the goal is that they will have a fixed and reliable schedule week over week.


The Recruiting Assistant is an entry-level position responsible for providing administrative and operational support to the Corporate Recruiter and recruiting team. This role ensures a seamless experience for candidates and hiring

managers, by assisting with interview scheduling, organizing candidate documentation, facilitating communication, and providing support to various recruiting activities. This position will also support the administrative lead for the company's Summer Intern Program and career fair engagements.


PRIMARY RESPONSIBILITIES

Interview Scheduling and Coordination :

  • Manages last-minute changes to interview schedules and communicates updates promptly.
  • Greets candidates, assists and coordinates onsite and virtual interview logistics.

Candidate Communication :

  • Serves as a point of contact for candidates, providing clear and professional communication throughout the
  • hiring process.
  • Sends confirmation emails, reminders, and follow-ups to candidates.
  • Addresses general inquiries regarding the recruiting process and escalates complex issues to senior team members promptly.

Document Management:

  • Organizes and maintains candidate files, resumes, and other relevant documentation.
  • Ensures compliance with data privacy regulations and company policies.

Team Support:

  • Assists the recruiting team with job posting management and updates on internal and external platforms.
  • Provides administrative support to the Recruiting team, as directed.
  • Provides administrative support in organizing Day of Giving.

Internship Programs & Career Fairs:

  • Provides administrative support with career fair preparation, registration, attendee organization, and coordination.
  • Provides administrative support to schedule Summer Intern Program, events, and program.
  • Identifies opportunities to enhance candidate experience and streamline administrative processes.
  • Supports diversity, equity, and inclusion (DEI) initiatives within the recruiting process.


REQUIRED EXPERIENCE

  • Entry level position for college graduate, or 1+ years of HR / Recruiting support or related professional office experience.
  • Customer service-oriented experience.
  • Experience working with MS Office Suite.
  • Organizational systems experience.


PREFERRED EXPERIENCE

  • Bachelor’s degree in Human Resources, Business Administration, Communications or related field.
  • Experience working with HRIS / ATS; Experience with Paylocity preferred.
  • HR / Recruiting experience.
  • Previous internship or experience in a professional office environment.
