Job Summary:

We are seeking a highly organized and detail-oriented Executive Office Manager to support our C-Suite executives. The ideal candidate will possess exceptional problem-solving skills, advanced proficiency in Excel, and a strong understanding of AI tools. This role requires a high level of confidentiality and discretion, as the Executive Office Manager will be responsible for managing sensitive information and supporting executive decision-making processes.

Key Responsibilities:

  • Provide comprehensive administrative support to C-Suite executives, including calendar management, meeting coordination, and travel arrangements.
  • Prepare and maintain detailed reports, presentations, and spreadsheets using advanced Excel skills.
  • Utilize AI tools to improve operational efficiencies and support data analysis and reporting.
  • Handle confidential information with the utmost discretion and professionalism.
  • Conduct research and gather relevant data to assist executives in strategic decision-making.
  • Oversee Executive office operations, including maintaining supplies, managing budgets, and liaising with other departments as needed.
  • Develop and implement office procedures to enhance overall efficiency and productivity.
  • Act as a point of contact for internal and external stakeholders, fostering effective communication on behalf of the executives.
  • Monitor project timelines and ensure deadlines are met while maintaining quality and accuracy.

Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Proven experience as an executive assistant or office manager, ideally supporting C-Suite executives.
  • Exceptional attention to detail and organizational skills.
  • Strong problem-solving abilities and critical thinking skills.
  • Advanced proficiency in Microsoft Excel, including formulas, pivot tables, and data visualization.
  • Familiarity with AI tools and software that enhance productivity and decision-making.
  • Outstanding written and verbal communication skills.
  • Ability to prioritize tasks and manage multiple assignments in a fast-paced environment.
  • Strong sense of confidentiality and integrity in handling sensitive information.
