Miller Theatre Advisory Board/Miller Outdoor Theatre

Miller Theatre Advisory Board (MTAB) is the 501c3 organization that oversees all programming at Miller Outdoor Theatre in Hermann Park. For the last 100 years, Miller Outdoor Theatre has provided professional-caliber performances, free to the public for the cultural enrichment of Houston’s diverse communities and the visitors to this great city. Miller Outdoor Theatre features performances from local arts organizations and from national and international touring acts. Performances at Miller Outdoor are presented March through October. Miller Outdoor Theatre is currently in the midst of a Capital Campaign to fund venue improvements, with the first project now in the planning and design phase.


Summary

Miller Theatre Advisory Board is seeking a full-time Business Manager to oversee operations and financial duties. Reporting to the Managing Director, the Business Manager ensures smooth daily operations, manages finances, handles HR tasks, and supervises the Bookkeeper. The role also involves supporting the Managing Director in staff management, grant program administration, office operations, and data management.


Key responsibilities include budget oversight, financial reporting, payroll management, HR compliance, and collaborating on strategic planning and policy development. The Business Manager will work with various departments to ensure operational efficiency and accountability.


The role requires adaptability, as Miller Outdoor Theatre is a unique venue that collaborates with professional artists and community arts groups. The team includes 4 full-time staff, 2 part-time staff, and numerous contractors. The Business Manager will also liaise with the Houston First Miller Outdoor Theatre Management Staff on communications and overlapping operations.


Responsibilities

Financial Oversight:

  • Oversee the Bookkeeper to ensure accurate and timely posting of transactions, month-end close, financial reporting, and compliance with accounting standards.
  • Provide support to the Managing Director in budget preparation, monitoring budget adherence, and offering financial insights to guide decision-making.
  • Manage restricted and unrestricted funds, tracking donations, grants, and capital project expenses in collaboration with the Managing Director and Development tea
  • Oversee grant compliance, including expenditure tracking and reporting to funders.
  • Review and ensure accuracy in financial documents, such as invoices, purchase orders, and payroll data, coordinating with external vendors as needed.


Operations Management:

  • Oversee office operations, including IT systems, vendor relationships, and office needs.
  • Collaborate with MD by advising and enforcing policies to ensure staff compliance and efficiency.
  • Manage key partnerships, including city departments and service providers.
  • Prepare and manage contracts, including vendor, grant, and rental agreements.
  • Oversee onboarding, benefits coordination, leave tracking, and contractor hiring/communication.
  • Assist with employee and partner policy updates.
  • Support Managing Director in Board management, membership, and communication.
  • Coordinate board meetings, staff meetings (both on-site and virtual), in collaboration with the Managing Director.


Administrative Support:

  • Serve as the point of contact for internal data and record management, maintaining accurate and accessible records for grants, events, and compliance requirements.
  • Ensure timely reporting to stakeholders, including government agencies and the Board of Directors.
  • Serve as Manager on Duty during performances as required.
  • Answer phones, pick up mail, carry out bank visits, and other duties as needed.


Qualifications

This position requires excellent organizational skills, the ability to manage multiple priorities, and a strong understanding of nonprofit operations. The Business Manager will be a key player in shaping the organization’s operational strategy, helping to maintain financial health while supporting the growth and development of MTAB’s team. The preferred candidate has the following skills:

  • Bachelor’s degree in Business Administration, Nonprofit Management, or a related field; equivalent experience will be considered.
  • At least three years of experience in nonprofit or arts administration, with a focus on operations or financial management.
  • Familiarity with QuickBooks Online and integrated financial tools (e.g., Bill.com, DocuSign) is preferred.
  • Strong organizational and communication skills, with the ability to prioritize and manage multiple tasks effectively.
  • Proficiency in Microsoft 365, Outlook, SharePoint, CRM databases, and the ability to quickly learn new systems.
  • Experience in managing relationships with external vendors and consultants.
  • Executive presence and the ability to navigate diverse communities and environments.
  • A passion for the Arts is essential.


This position is based on-site at Miller Outdoor Theatre, with the potential for hybrid or remote work. Hours may vary during the season but are generally standard weekday hours.


Physical Requirements:

  • Must be able to lift and carry boxes weighing up to 50 pounds, often in an outdoor park environment.
  • Work may involve walking, standing, or carrying materials across uneven terrain or outdoor spaces.
