A nonprofit services organization in New York City is currently seeking an experienced administrative professional to join their growing team as their new Executive Assistant.
About the Opportunity:
- Start Date: February
- Assignment Length: Ongoing
- Hours: 9am to 6pm (but need to be flexible)
- Location: Hybrid opportunity requiring the qualified professional to work onsite at least 2 days a week.
Responsibilities:
- Manage and schedule a high volume of incoming calendar requests.
- Serve as a liaison to internal staff and external stakeholders, including board members, donors, and members of the press.
- Accompany and provide hands-on support to the principal during meetings and events attended by high-level individuals from various industries.
- Preparing daily and weekly agendas.
- Preparing or ensuring the preparation of meeting agendas, materials, and talking points.
- Coordinate with the security team to prepare for speaking engagements and event attendance
- Recording and processing expenses.
- Draft correspondence and research in collaboration with the principal and relevant internal staff.
- Document management and filing.
- Assisting with Board meeting preparations and day-of staffing.
- Special projects and other duties as assigned.
Qualifications:
- Bachelor's degree
- Commitment to the organization's mission
- Superior writing and communication skills
- Demonstrate proficiency in Microsoft Office Suite and ability to quickly adapt to new software and hardware solutions as needed
- Manage existing and new relationships with external vendors to fulfill operational and logistical demands
- Demonstrated capacity to exercise judgment, strict confidentiality, and discretion
- Ability to match the fast-paced working style of the principal and the organization; to make decisions and adjust quickly; and to maintain a positive, open disposition, even in the face of challenging circumstances
- Apply creative problem-solving
- Ability to multi-task, remain extremely organized, and manage the multiple moving parts that constitute the position
