Here at the Samaritan Fund Program, we help give the Peace of Mind to Heal  to individuals and families struggling with high-cost diseases by sourcing them funds to pay for their medical bills through third-party sponsors.


Position Overview

As the Executive Assistant , you will provide support to our CEO and Director of Partnerships to stay organized by managing their schedules and keeping up with correspondence based on their needs. Your top priority is to ensure that everyone stays on task so that our process can continue to progress smoothly.


Duties & Responsibilities

  • Schedule meetings, send reminders, and prioritize sensitive matters.
  • Organize and prepare for meetings, including gathering documents and note keeping of meetings.
  • Draft, edit, and compose emails and other communications on behalf of the executive.
  • Answer and respond to phone calls, and communicate messages and information to the executive.
  • Facilitate day-to-day communications by ensuring the team promptly responds to emails and phone calls.
  • Distribute contracts for signature, examine upon return, and oversee the electronic contract management process.
  • Oversee task prioritization and ensure that everything stays on schedule.
  • Coordinate travel arrangements.
  • Record notes in Salesforce when documents are received, with special attention to informing the team about the essential next steps for client onboarding.
  • Act as gatekeepers to information the executive receives.
  • Maintain comprehensive and accurate records in our system of record Salesforce.
  • May also handle additional tasks as required, based on the company’s specific requirements and priorities.

Qualifications

  • Proven experience in an administrative or executive support role.
  • Proficiency in Microsoft Office Suite
  • Excellent verbal and written communication skills
  • Proficiency in Salesforce or other CRM
  • Attention to detail and accuracy in work.
  • Ability to multitask and meet deadlines in a fast-paced environment.
