Overview:
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The Executive Assistant will be responsible for a wide range of administrative and executive support-related tasks, working independently with little or no supervision. This role requires a well-organized individual who is flexible and enjoys the administrative challenges of supporting a diverse team of people.
This role will provide assistance with many day-to-day functions of the HR department. In this role, you will be the first responder to employee inquiries and answer questions, provide information and/or connect employees with other resources.
What You’ll Do:
- Advise the CMO to set up new hires who require Wrike and/or Pipedrive access or training.
- Assist with IT standardization for e-signatures, profile photos, access levels, and onboarding activities.
- Offer executive support for the CEO and VP of HR.
- Perform general office administrative duties including procurement of supplies and equipment, scheduling meetings, and event management.
- Manage credit card reports for the CEO and administer the Corporate Office Card.
- Maintain email distribution lists.
- Work with the SVP of Sales of Supplier Diversity Management applications.
- Manage company FedEx account.
- Provide notarization services.
- Other professional administrative, office management and miscellaneous duties as required.
Qualifications
- 5 years of general administrative experience working with executive-level employees.
- Strong MS Office 365 skills, including SharePoint, Outlook, PowerPoint, Word, and Excel.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Proactive approach to problem-solving with strong decision-making capability.
- Ability to work independently and as part of a team.
- Notary Public
Education:
- Bachelor’s Degree or equivalent work experience required.
- Additional certifications in office administration or related fields are a plus.
- Continuous learning and professional development in relevant areas are encouraged.
