We are seeking an Administrative Assistant to contribute to our success.
Job Description
As the Administrative Assistant , you will play a crucial role in supporting the daily operations of our financial advisory practice. The ideal candidate will embody qualities such as honesty, hard work, ethics, and friendliness. We value individuals with a high level of integrity who seek challenges and strive for excellence. On-site attendance from 8:00 AM to 5:00 PM Monday through Friday is imperative.

Responsibilities
CRM Management & Misc. Reporting:
- Excess Cash Report (weekly)
- Household Cleanup/Maintenance Report (weekly)
- Work with receptionist to monitor and maintain accurate past-due list (weekly/monthly)
- Add outside assets in the Customer Relationship Management (CRM) software
- Maintain “New Assets” spreadsheet
Financial Planning:
- Sort client data into binders
- Assemble Financial Plan (FP) binders for meetings
- Keep stock of FP supplies (binders, tabs, labels, etc.)
- Implement new systems
- Maintain master FP binder to include: Status Report, all FP summaries (YTD/previous year), pending action items, assets brought in)
- Create FP agendas & post FP agendas
Reports for Portfolio Reviews:
- Create reports for portfolio reviews when Portfolio Reporting Coordinator is out of the office
- Update outside assets ahead of Portfolio Review (PR)
- Create PR agendas
Special Projects & Miscellaneous Support:
- Support marketing team with mass mailing, mailing lists, etc.
- Ensure all notes from market movements are in CRM
- Create master task list/to-do list for administrators' internal use
- Clean up client folders in hard drive
- Update/add/remove custom fields in CRM
- Add outside assets from previous financial plans
Qualifications
A bachelor's degree is preferred but not required (minimum requirement is a GED.) Proficiency with Microsoft Office and the ability to quickly learn other software programs is essential. In addition, you must be highly organized and detail-oriented. Creative and energetic candidates are a plus!
