Description
Job Summary
We are seeking a dedicated and detail-oriented Human Resources Assistant to support our HR department in various administrative tasks, including processing payroll on a biweekly basis. The ideal candidate will play a crucial role in facilitating HR processes, managing employee records, and assisting with talent management initiatives. This position requires strong organizational skills, a proactive attitude, the ability to handle sensitive information with confidentiality, professionalism, flexibility, and a willingness to take on additional responsibilities as requested.
Duties
Essential Responsibilities:

  • Processes and reviews biweekly payroll for 100+ team members.
  • Answers questions from team members regarding the payroll and HR database such as timesheet, paystubs, direct deposit, W2, etc. questions.
  • Compiles employee data for reports related to payroll, benefits, and compliance.
  • Performs confidential clerical functions such as copying, mailings, scanning, faxing, and filing.
  • Assists human resources team with updating job descriptions.
  • May assist in recruitment process by posting job openings, evaluating applications, and phone screening potential candidates.
  • Obtains authorization forms via DocuSign and processes background checks.
  • Calls and verifies professional references.
  • Electronically sends offer letters and launches electronic onboarding process.
  • Annually runs required background and MVR checks.
  • Updates and tracks vehicle insurance and other information required for various positions on a regular basis.
  • Assists with administration of employee benefits on a year-round basis as well as during open enrollment.
  • Assists in employee onboarding and helps organize training and professional development initiatives.
  • Serves as point of contact for key distribution and tracking.
  • Coordinates meetings and other gatherings including annual retreat by ordering or purchasing refreshments, setting up equipment, and online meetings, etc.
Additional Responsibilities:
  • Recognizes the primary importance of the organization's stated mission. This position requires flexibility and continuous development of job performance to achieve its intended purpose.
  • Adheres to Pine Tree Society's communication platform and media policies to ensure consistent brand messaging and image to internal and external stakeholders.
  • Respects confidentiality and abides by the Society's HIPAA policy when discussing client, staff, volunteer, and organizational matters including fiscal and related information.
  • Adheres to a safety/risk management program that includes assessment, evaluation, establishment of procedures, incident review, workplace engineering, infection control protocols, training and such other measures that ensure a safe and healthy workplace environment.
Requirements
Qualifications
  • Understanding of general human resources policies and procedures.
  • General knowledge of employment, labor, and payroll laws.
  • Experience with Microsoft Office including SharePoint.
  • Capacity to apply discretion and maintain a high level of confidentiality when handling sensitive information.
  • Possess exceptional interpersonal communications skills with the ability to communicate effectively with a variety of individuals.
  • Excellent organizational skills.
  • Strong data entry skills with attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to organize time effectively and remain flexible to effectively meet competing demands.
  • Proficiency in Microsoft Office Suite; experience with HR software is an advantage.
Education/Experience:
  • High school diploma or GED required.
  • One year of experience in human resources preferred.
  • One year of payroll processing experience preferred.

Salary Description
$20.00 - $22.00 per hour
