We are seeking a Chief of Staff (Temp to Perm) for an in-office role in the Philadelphia area (19107).
Pay Rate: $43.25/hr
Position Overview: The Chief of Staff will serve as a trusted partner to the CEO and senior leadership, helping to ensure the efficient and effective operation of the organization. This role is key to driving operational consistency and alignment, facilitating communication, and supporting the CEO in decision-making processes. The Chief of Staff will act as a liaison between the CEO and other employees, fostering coordination and collaboration across teams. The ideal candidate will have exceptional organizational and executive assistant skills, with the ability to help drive the organization in a more uniform, efficient, and consistent direction. Role Objective: To strategically support the CEO in executing the organization's goals while managing key operational activities, ensuring that processes run smoothly and efficiently. The Chief of Staff will manage internal and external communications, facilitate the implementation of strategic goals, and maintain positive relationships with key stakeholders and clients.
Key Responsibilities:
Executive Support:
- Serve as the CEO’s primary point of contact for both internal and external matters, addressing administrative and strategic needs.
- Manage the CEO’s calendar, prioritize meetings, and ensure efficient use of time by preparing materials and agendas in advance.
- Provide strategic and operational support in decision-making processes, helping the CEO focus on high-priority tasks and projects.
- Coordinate and prepare materials for executive team meetings, ensuring alignment with the organization’s goals and vision.
Operational Leadership:
- Collaborate closely with the CEO to streamline and improve internal processes, ensuring the organization operates efficiently and consistently.
- Support the CEO in creating and maintaining clear systems and workflows across departments.
- Assist with tracking and managing the progress of key initiatives and projects, ensuring deadlines are met and there is clear follow-through.
- Help manage internal communications, ensuring alignment with organizational objectives and fostering a culture of transparency and consistency.
Strategic Liaison and Relationship Building:
- Act as a liaison between the CEO and staff, communicating key directives and ensuring alignment with the organization’s mission and values.
- Build and maintain strong, professional relationships with clients, partners, and other key stakeholders.
- Represent the CEO in meetings and external interactions when necessary, acting as an ambassador for the organization.
Administrative and Project Management:
- Oversee key administrative duties, such as tracking and managing IT, HR, and payroll issues, ensuring they are addressed in a timely manner.
- Coordinate company events, training sessions, and key organizational meetings.
- Lead or assist with special projects and other ad-hoc initiatives as assigned by the CEO.
- Handle confidential and sensitive information with the highest level of discretion and professionalism.
Skills and Qualifications:
Executive Assistant Skills:
- 5+ years of experience supporting C-level executives, with a proven track record in executive assistance and operational support.
- Highly proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), SharePoint, Teams, and Notes. Experience with project management tools is a plus.
- Ability to manage multiple tasks simultaneously, prioritize effectively, and operate with a high degree of autonomy.
