Role Description

This is a part time to full-time on-site role for a Personal Assistant at Stephan Group Real Estate Brokerage located in Birmingham, MI. The Personal Assistant will be responsible for providing executive administrative assistance, managing diaries, and performing clerical tasks. This role will also double as personal assistant for Tony Stephan and Andrea Stephan. This individual will play a key role in ensuring smooth communication and efficient coordination between buyers, sellers, agents, lenders, title companies, and other parties involved in the transaction. The ideal candidate will possess excellent organizational skills, strong attention to detail, and the ability to manage multiple tasks simultaneously.


Key Responsibilities:

  • Transaction Management:
  • Oversee the entire transaction process from the time the contract is signed until closing. Ensure all parties adhere to deadlines, contract terms, and legal requirements.
  • Communication and Coordination:
  • Act as the primary point of contact between clients, agents, lenders, escrow officers, title companies, vendors, independent contractors, and other stakeholders. Provide timely updates to all parties involved in the transaction.
  • Document Management:
  • Ensure all necessary documents are collected, completed, and submitted in a timely manner. This includes contracts, disclosures, inspection reports, title reports, and closing statements.
  • Calendar and Deadline Management:
  • Track and manage important dates and deadlines (e.g., inspection periods, financing contingencies, closing dates) to ensure transactions stay on schedule.
  • Problem Resolution:
  • Identify potential issues and work proactively to resolve any challenges that arise during the transaction process. Escalate issues to the appropriate parties as needed.
  • Compliance:
  • Ensure that all transactions comply with local, state, and federal laws and regulations, including real estate laws, privacy policies, and industry standards.


Must be local to Birmingham MI or nearby! This is not a virtual position.


Willing to start part time and work into a full time position. This is a 1099 independent contractor position to begin.


Qualifications

  • Personal assistant and Executive Administrative Assistance skills for Tony and Andrea Stephan, The Stephan Group Real Estate Brokerage, and Tony Pro Investments LLC (Multifamily real estate investing company).
  • Must be dog friendly (we have two trained labradors who love people).
  • Must be willing to come to and work out of our personal residence and assist with house manager tasks not limited to but including: organizing, purchasing and ordering home supplies, returns, light food prep, light cleaning, walking dogs, etc.
  • Must be proficient with word, excel, google drive, etc.
  • Must have an extremely high attention to detail and organizational skills.
  • Must have a high ability to multitask and prioritize tasks and perform under deadlines.
  • Familiarity with real estate industry is a plus.
  • Social media skills are a plus.
  • Bachelor's degree is a plus.
  • MI real estate license is a plus. Or, willing to also become licensed and be cross trained as an agent is a plus.
