Description The Receptionist/Office Manager/ Human Resource Admin is responsible for performing general administrative tasks to support the YMCA Association Office in Tustin. This position is full time.
RESPONSIBILITIES/DUTIES: Receptionist - Respond to Association Office inquires, greet internal and external visitors, and answer multi-line phone system.
- Maintain the phone lists weekly (Branches, Childcare Sites and Association Office)
- Listen and return voice messages daily from the general voicemail box.
Office Manager - Provide Associate Office administration support.
- Perform general office tasks (such as copying, filing, and faxing).
- Order, refill and maintain office supplies (copiers, kitchen, meetings etc.)
- Prepare and distribute daily mail and package correspondence.
- Order Business Cards for new and current Association Office employees
- Prepare all Association Office meetings prep to include but not limited to: Food ordering, Room preparation, Coffee machines replenishment and Prep/Cleaning up before/after meeting.
- Key and lock management
- Provide YUSA Exchange approvals
- Order and distribute staff name plates
- Assign the Property Management firm liaison for Association Office for issues such as, but not limited to (A/C issues, lights out, broken appliances, damage to building, etc.)
- Assist Marketing team with Social Media and Special Projects
Human Resource Admin - Assist Live Scan for potential new hire candidates.
- Attend occasional Job Fairs/Events as YMCA HR Representative.
- Assist Recruiter with sourcing and screening candidates during peak staffing needs.
- Assists department with Employee Recognition and Years of Service program.
- Assists with employment verification, electronic filing and Y exchange management
- Manage HR calendar and reporting
- Perform other duties as assigned.
Qualifications MINIMUM QUALIFICATIONS : The following are the minimum qualifications, which an individual needs in order to successfully perform the duties & responsibilities of this position. Please note that the minimum qualifications may vary based upon the department size and/or geographic location.
- Education & Certifications: High School Diploma or equivalent required, 1-2 years of college preferred.
- Experience & Background: 2 years experience and proficiency in Microsoft Word, data entry skills, use of office machines, and organizational skills required. Prefer 2 years of experience using Microsoft Excel and Access or other relational database.
