The Executive Assistant to the Chief Financial Officer and Treasurer (“CFO”) is the first point of contact and plays a significant role in presenting the CFO’s image to internal and external stakeholders. The Executive Assistant also serves as a liaison and administrative support to the board of directors; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive assistant must have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant must have a very flexible schedule to also maintain availability outside of typical business hours.
- This position is temp to perm. Temp pay: $43 per hour
- Hours 8:30- 5:30 but must be flexible for earlier/later
- 4 days in the office, Friday’s remote
Responsibilities:
- Proactively completes a broad variety of administrative tasks for the CFO including: managing active calendars of appointments; reviewing, managing, organizing and responding to the CFO’s emails; completing expense reports; composing and preparing correspondence that is often confidential; arranging detailed travel plans, itineraries and agendas; and compiling documents for meetings
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CFO, including those of a sensitive or confidential nature. Determines and/or proposes appropriate course of action or response
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting and editing letters, preparation of confidential reports, correspondence, business plans and other materials
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
- Works closely with the Chief of Staff, Executive Assistant to the CEO and Corporate Secretary on board meetings.
- Anticipates CFO's business needs, thinks critically, and offers solutions, both on a routine and a per case basis
- Manages conference rooms/food and equipment requests for all department meetings and off-sites.
- Creates and/or edits documents (such as memos and letters), spreadsheets and presentations, and distributes materials as required
- Acts as a liaison with other departments and high-level staff
- Provide ad hoc support to other members of the finance team
- Input data into budgeting system during annual budget process, and provide ad hoc quarterly reports from the system or as requested throughout the year
- Provide assistance for personal meetings, appointments, travel, etc.
- Process all check requests and expense reports for payment in a timely and accurate manner
- Coordinates division of workload with the other Executive Assistants; serve as back up support for CEO and other executives when required
- Responsible for tracking CFO attendance
- Responsible for CFO office supply ordering
- Maintains and organizes files and record
- Manages incoming and outgoing mail
Required Qualifications:
- Bachelor's degree with a minimum 5 years of EA experience in fast-paced Finance/ Insurance setting or equivalent combination of training, education or experience
- Experience managing multiple assignments/projects and conflicting priorities with the pressure of short and demanding deadlines
- Proven ability to handle confidential information and have discretion
- Ability to work well with others; must be a good team player
- Detail-oriented with strong organizational skills (ability to multi-task) and ability to prioritize
- Advanced PC Skills in Word, Excel, PowerPoint, and Outlook
- Strong interpersonal skills and professional demeanor
- Must possess effective written and verbal communication skills
- Ability to handle communication with all levels within and outside of the organization
- Problem solving skills
