Our client, one of SF's most prestigious venture capital firms, is seeking a top-notch executive assistant to support a C-Suite executive. This role will encompass coordinating a complicated calendar, organizing travel both professional and personal, and tackling ad-hoc projects. Salary: $80K – $100K
Job Responsibilities:
- Welcome visitors and facilitate large meetings, including coordinating guest seating, arranging catering, and managing technical aspects such as setting up video calls.
- Ensure the office is maintained to a high standard, including overseeing the cleanliness and organization of common areas like the kitchen and bathrooms.
- Take ownership of office management projects, including overseeing office renovations and collaborating with facilities teams to address maintenance requests.
- Maintain a well-organized office inventory, including managing printer upkeep and ensuring that storage areas are stocked with necessary supplies.
- Coordinate with external service providers for office-related needs such as plant care, catering services, and coffee supplies.
- Manage IT-related troubleshooting, including assisting with the setting up of new equipment or replacing outdated devices.
- Handle billing for office-related services such as plant watering, catering, and other recurring office needs.
- Supervise mailroom operations to ensure smooth processing of incoming and outgoing shipments, as well as handling business-related packages.
- Manage and execute special office projects, such as office upgrades and maintaining a well-organized swag inventory.
- Plan and coordinate both in-office and offsite events, including managing budgets and logistics for various activities.
- Guide campus tours for visiting guests and external stakeholders.
- Work closely with HR to assist with onboarding new hires, ensuring a smooth transition and proper setup.
- Support senior team members (including partners) with administrative needs, such as managing calendars, travel arrangements, and processing expense reports during time off or special leaves.
Qualifications:
- Minimum of 2 years of experience in office management or administrative support roles.
- Strong initiative and a proactive mindset, with a focus on continuous improvement and high-quality results.
- Excellent organizational skills with an ability to manage multiple tasks and deadlines efficiently.
- Effective communicator with a talent for working well with teams and stakeholders at all levels.
- Demonstrated ability to solve problems quickly and adapt to new processes and tools.
- A positive, team-oriented attitude with a collaborative work style.
- The ability to remain calm, flexible, and focused in a dynamic, fast-paced work environment.
- Experience in planning and executing events, including managing budgets and coordinating logistics.
