Job Description

The Role:

We are seeking an experienced Executive Assistant to support a few senior operations executives who are based in the East Coast of FL region. This role requires a highly resourceful and proactive individual who thrives in a fast-paced, mission-driven, and results-oriented environment. The ideal candidate will have strong organizational, administrative, and communication skills, along with the ability to prioritize and manage multiple responsibilities with discretion and professionalism.


Location:

This is an onsite position based in the downtown Miami, FL, office.


Responsibilities:

  • Provide high-level administrative support to two senior executives, including preparing reports, memos, and maintaining databases.
  • Assist in coordinating, executing, and managing special projects using Excel and PowerPoint.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Manage complex executive travel arrangements and itineraries.
  • Maintain and coordinate executive calendars, appointments, meetings, and events.
  • Oversee executive email correspondence and communications.
  • Draft and prepare correspondence, reports, and other business documents.
  • Develop and maintain spreadsheets and databases for tracking and reporting.
  • Communicate effectively with internal and external stakeholders, both individually and in group settings.
  • Organize and prioritize workload to meet deadlines in a dynamic environment.
  • Establish and maintain relationships with executives, department heads, and external partners.
  • Identify challenges, analyze issues, and implement or recommend solutions.
  • Interpret and apply company policies and procedures within the scope of authority.
  • Coordinate and attend management meetings, including agenda preparation, document compilation, and minutes management.


Qualifications:


  • Bachelor’s degree with at least 4 years of relevant experience or 6–10 years of directly related experience.
  • Strong understanding of business operations and executive support functions.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), database management, and email systems.
  • Excellent written and verbal communication skills, including business correspondence and documentation.
  • Ability to work independently with minimal supervision while maintaining sound judgment.
  • Strong discretion, professionalism, and ability to handle confidential information.
  • Effective problem-solving skills and the ability to anticipate executive needs.
  • Experience in construction or a related industry is beneficial but not required.


Working Conditions:


  • This role primarily involves working in an office environment with occasional job site visits.
  • The employee must be able to sit for extended periods, use a keyboard and telephone, and communicate clearly.
  • Some standing, walking, and reaching may be required.
  • The work environment is typically quiet to moderately active.
