Human Resources Coordinator
Location: Hybrid – Fishers *Local Candidates Only Please*
Salary Range: $55,000–$60,000 + Full Benefits, PTO, and Paid Holidays
About the Role:
We’re looking for a high-energy, proactive, and detail-driven HR Coordinator who thrives in a fast-paced, ever-evolving environment. This role is critical in managing key HR functions, including onboarding, benefits, compliance, multi-state leave administration, and employee communications.
This isn’t a check-the-box kind of job—we need someone who is naturally curious, eager to learn, and always asking why. You should love understanding the “why” behind processes, refining workflows, and bringing fresh ideas to the table. If you thrive on problem-solving, continuous learning, and following tasks through to completion, you’ll be a great fit.
We also need someone who is tech-savvy and excited about leveraging AI tools (e.g., ChatGPT, Grok, Gemini, Copilot) to streamline workflows, improve efficiency, and enhance the employee experience. A strong team player mentality is essential—this is a highly collaborative role where you’ll be working closely with leadership and employees to drive meaningful improvements.
Key Responsibilities:
Onboarding & Offboarding
- Manage background checks, drug screens, and new hire paperwork with a high level of accuracy.
- Guide new employees through onboarding, ensuring a smooth transition.
- Oversee offboarding, including compliance with final pay, benefits termination, and exit interviews.
Benefits & Leave Administration
- Administer employee benefits, including enrollments, terminations, and changes.
- Manage multi-state sick leave, PTO accruals, and compliance with state-specific leave laws.
- Assist with immigration documentation and employment verification.
HR Compliance & Multi-State Reporting
- Multi-state compliance is a must—including experience handling complex employment laws in California, New York, Illinois, and other high-regulation states.
- Ensure compliance with federal, state, and local employment laws, handling audits and required reporting.
- Keep up with changing labor laws and proactively address HR compliance risks.
Employee Support & Internal Communications
- Be the first point of contact for employee HR-related questions and concerns.
- Manage internal newsletters, email campaigns, and social media updates to keep employees engaged.
- Help create a positive workplace culture through communication and engagement initiatives.
Process Improvement & Business Understanding
- Not just “complete tasks”—understand why they matter and how they affect the business.
- Identify inefficiencies and proactively suggest improvements to HR workflows.
- Document and refine processes for accuracy, efficiency, and compliance.
What We’re Looking For:
- Fast-paced and proactive: You take initiative and move with urgency.
- Curious and business-minded: You want to understand how HR drives business success.
- Accuracy-focused: You double-check your work and ensure all details are correct.
- Process-driven: You thrive on improving systems and making workflows more efficient.
- Employee experience-focused: You genuinely care about creating a great work environment.
Qualifications:
- 2–4 years of HR experience, with strong knowledge of multi-state compliance and employment laws.
- Must have experience with California, New York, Illinois, and other high-regulation states.
- Hands-on experience with onboarding, benefits administration, leave management, and compliance.
- Tech-savvy and comfortable with:
- HRIS/HCM systems (e.g., Paylocity, ADP, Paycom, Paycor, or similar)
- Project management tools (e.g., Asana, Trello, ClickUp, Monday, or similar)
- Communication & collaboration tools (e.g., Slack, Microsoft Teams, Google Workspace)
- MS365 Suite, particularly Excel, Word, and Outlook
- AI tools (e.g., ChatGPT, Grok, Gemini, Copilot, or similar)
- Excellent written and verbal communication skills.
- Big corporate mindsets won’t fit—we need someone adaptable, hands-on, and eager to make an impact.
