Job Summary


The Payroll ssistant will work closely with the Payroll and Benefits Manager to support payroll processing, maintain employee records, and assist with basic accounting tasks. This role is well-suited for a detail-oriented individual who enjoys working with numbers, systems, and providing employee support. Accuracy, confidentiality, and a proactive approach to problem-solving are essential for success in this position.


Essential Duties and Responsibilities


Payroll & Benefits Support

  • Assist with weekly payroll processing, including data entry, timecard verification, and reviewing deductions.
  • Maintain up-to-date payroll records, ensuring timely updates for new hires, terminations, and pay adjustments.
  • Address routine employee inquiries related to payroll and benefits.
  • Track and reconcile employee PTO and sick leave balances.
  • Support benefits administration, including enrollments, terminations, and updates.
  • Assist in coordinating open enrollment and communicating benefit details to employees.
  • Verify benefits deductions within payroll and assist with reconciliation.
  • Perform additional duties as assigned.


Accounting Support

  • Record financial transactions in QuickBooks .
  • Assist with processing invoices, payments, and tracking accounts payable .
  • Prepare reports for review by management.
  • Support tax filing preparation, including 1099 documentation .
  • Maintain organized financial records and ensure timely document filing.


Skills & Experience

The ideal candidate will have the following qualifications:

  • Associate’s degree in Accounting, Business Administration, or a related field preferred. Equivalent relevant experience may be considered in place of a degree.
  • 1-3 years of experience in payroll, benefits administration, or accounting support preferred. Experience with QuickBooks, BambooHR, HH2, Sage 300, or ADP is a plus.
  • Proficiency in Microsoft Excel with strong attention to detail and numerical accuracy.
  • Excellent organizational and communication skills , ability to maintain confidentiality, and capability to multitask in a deadline-driven environment .
