Job Title: Legal Assistant – Real Estate and Business Law
Key Responsibilities:
Real Estate Law Support:
- Assist attorneys with drafting, editing, and finalizing legal documents, such as contracts, amendments, leases, letters of intent, term sheets, and closing instructions.
- Prepare and organize closing binders for real estate transactions.
- Handle the distribution of completed documents via mail, email, or courier services.
- Manage and maintain confidential files, documents, records, and reports.
- Coordinate intake processes, conflict checks, time entry, and client billing.
- Manage attorneys' calendars, travel arrangements, appointments, and meetings.
- Support business development efforts and client relationship management.
- Additional tasks as assigned.
Business Law Support:
- Assist attorneys with document preparation, review, and revisions.
- File necessary documents with state and federal regulatory agencies, including the IRS.
- Ensure confidentiality in handling files, legal documents, and other sensitive information.
- Submit conflict checks, process time entries, and assist with client billing procedures.
- Maintain attorneys’ schedules, including meetings, appointments, and travel arrangements.
- Provide assistance with client management and business development initiatives.
- Other duties as required.
Qualifications:
- 2-5 years of experience in transactional law preferred.
- Familiarity with annual filings and LLC submissions.
- Experience with real estate terminology and related practices is a plus.
- Proactive and adaptable, with strong communication and organizational skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Professional.
- Experience with electronic document management systems is preferred.
- Strong attention to detail, excellent grammar, and proofreading abilities.
- Capable of managing multiple tasks in a fast-paced environment, with the ability to prioritize based on urgency.
- Willingness to work overtime as needed.
- Familiarity with Aderant and FileSite software is a bonus.
