Position: Executive Administrative Assistant (Intermediate)
Location: San Francisco, CA
Pay Range: $37 - $44 per hour (x1.5 OT)
Duration: 5 Months (Potential for Extension or FTE Conversion)
Hours: Mon-Fri 8:30am - 5pm
Job Description
A successful Administrative Assistant possesses structure, attention to detail, quality focus, high energy, and flexibility within a fast-paced, deadline-driven organization. The ideal candidate must excel in a team environment, represent leadership with professional courtesy, and consistently deliver flawless work output. This role involves regular interaction with internal executive clients across various business lines, requiring adaptability to evolving procedures and departmental goals.
Responsibilities
- Support 5 Bankers and 1 Executive Director within the Equities Capital Markets group
- Manage complex calendars for senior leaders, including handling last-minute changes, conference room booking, event coordination, and catering arrangements
- Assist with local event planning and employee engagement activities
- Provide on-site support, including phone coverage, new hire integration, facilities maintenance, supply management, and client/guest escorting
- Organize food orders, conference room setup, and takedown to ensure a superior client experience
- Provide general team support such as tracking training records, maintaining confidential data, and assisting in ad hoc projects
- Enforce internal controls and comply with company policies and procedures
Must Haves:
- 3-6 years of Executive Administrative experience in Financial Services, Banking, or a Corporate environment supporting high-level executives
- Strong calendar management skills with experience supporting senior leadership
- Proficiency with Concur for managing high-volume travel and entertainment expenses
- Expertise in MS Office (Outlook, Teams) and Zoom for internal meetings
- Excellent telephone etiquette and ability to manage competing priorities
- Strong organizational skills with a proactive mindset
- Sound judgment and discretion in handling confidential matters
- Strong interpersonal, written, and oral communication skills
- College degree preferred
