As a Client Services Associate, you'll be the secret ingredient to our clients' happiness, handling every request with flair and finesse.
The Sr. Client Service Associate ("Sr. CSA") performs duties which directly impact the client experience. This is a hybrid position, performing both the duties of a Client Service Associate and a Relationship Manager for assigned clients. This is a non-exempt position, reporting to the Client Services Manager.
What you will do:
  • Manage and support client relationships to ensure a gold standard client experience. Engage in regular in-person, telephone and email client interaction.
  • Prepare and process documentation related to client onboarding and maintenance including account applications, transfer documents and other forms as required. Log all activities in the firm's CRM in a timely and accurate manner. Ensure accuracy and integrity of client records, centers of influence (COI), and prospective clients.
  • Complete miscellaneous administrative tasks that support the client relationship as assigned and log all activities in the firm's CRM in a timely and accurate manner.
  • Perform client and prospect data entry in the firm's CRM. Ensure data accuracy and integrity and keep records current on existing and prospective clients.
  • Collaborate closely with Lead Advisors at all stages of the client review meeting process, including preparation of materials and attendance at the meetings. Ensure accurate and detailed notes are entered into the CRM following the meeting. Follow up on action items.
  • As requested, coordinate client retention processes including anniversaries, Thank You notes, flowers and/or gifts.
  • Perform tasks associated with client's cash flow and money movement directives.
  • Interact as needed with custodians. Ensure the accuracy and integrity of electronic record-keeping with the firm's custodians.
  • Coordinate client service models to determine proactive client touch points.
  • Assist with the training of new or newly promoted client-facing team members. Work with team members to ensure training and reference documents are accurate and updated as needed. Monitor industry trends and alerts and disseminate pertinent information as needed.
  • May prepare or oversee the preparation of various deliverables which directly support client service and acquisition such as portfolio review packets, greeting letters, presentation books, service agreements and compliance materials.
  • Perform back-up duties for the front office. May assist with general office duties, including answering incoming phone calls, greeting clients, office supply management, mail processing, internal and external event coordination and meeting management.
  • May perform calendaring functions with both internal teams and external clients, prospects and COIs.
  • Positively engage with all members of the team in a professional office setting to support and advance Cable Hill's culture.

What you will need:
  • A minimum of three years of administrative experience in a professional setting. Experience must include professional interaction by phone and in person with clients. Finance industry experience preferred.
  • Expected to gain competence in industry terminology and concepts that support their job description.
  • Proficiency in Microsoft Office Suite products required.
  • Series 65 preferred but not required.
  • SalesForce, DocuSign and eMoney experience preferred.
