Job Summary:
We are seeking a candidate to provide Configuration Management support and act as a Correspondence and Report Workflow Specialist for multiple branches within the Power and Energy Systems Division at NSWC Crane. The successful candidate will collaborate closely with the quality focal point within the business management branch and be responsible for formatting, proofreading, and coordinating reviews and approvals for a variety of technical documents and reports. Essential Functions:
  • Correspondence and Document Management: Provide support for managing the workflow of correspondence and technical reports. Utilize the iPDM and SharePoint for document handling, ensuring timely routing through the approval chain.
  • Document Formatting and Proofreading: Format, proofread, and edit documents according to SECNAV Correspondence Manual and Government Printing Office (GPO) Style Guide standards. This includes Letters, Memorandums, Endorsements, Memorandum of Agreements, Route Sheets, Memorandums of Understanding, Standard Operating Procedures, Instructions, and other technical and business documentation.
  • Review and Approval Coordination: Coordinate the review and approval processes for various documents, ensuring they are routed through the correct channels. Maintain clear records of document movement between offices and organizations for concurrence and endorsement, tracking progress through the chain of command until final approval.
  • Quality Assurance Support: Work closely with a quality representative to ensure all documentation adheres to local policy, is correctly formatted, and meets all quality and regulatory standards.
  • Records Management: Ensure that all finalized documents, whether controlled or uncontrolled, are appropriately retained in official document repositories in accordance with Records Management requirements. Maintain an organized and efficient system for document storage and retrieval.
  • Editing and Review Expertise: Provide support for proofreading, editing grammar and punctuation, and ensuring compliance with established policies. Provide constructive feedback on others' writing to ensure clarity, accuracy, and compliance with applicable standards.
  • Document Control and Software Proficiency: Utilize Microsoft Office tools, including Word, Excel, PowerPoint, and Adobe Acrobat Pro, to create, edit, and manage documents. Manipulate text, data, and graphics between software programs, insert drawings, create and insert tables, and work with templates and style sheets based on customer needs.


Experience and Skills:
  • Bachelor's Degree from an accredited university preferred; experience can be substituted for education.
  • 7+ years of experience in a related field.
  • Proficiency with MS Office (Outlook, Word, Excel, and PowerPoint) required.
  • Integrated Product Data Management (iPDM) System and SharePoint experience required.
  • Excellent written and verbal communication skills, with a strong attention to detail.
  • Strong organizational skills with the ability to effectively multi-task and prioritize work.
  • Timely and professional responsiveness to internal and external correspondence.
  • Proactive and resourceful, with strong problem-solving skills.
  • Demonstrated discretion, good judgment, and decision-making ability.
  • A team player with a positive, personable "can do" attitude.
