Grants & Contracts Administrator to support University-wide, pre-award and post-award grant and research administration functions in the Office of Research and Sponsored Programs (ORSP). These positions are available due to reorganization and expansion of the ORSP staff.
Grants & Contracts Administrators will work directly with Principal Investigators and Project Directors (PI/PDs) throughout the grants/contracts lifecycle (from proposal development to grant closeout).
Minimum Qualifications
1. Bachelor’s degree;
2. At least 5 years of experience in a related position;
3. Knowledge of federal regulations related to grants and contracts;
4. Ability to work and manage her/his workload independently;
5. High proficiency in Microsoft Word, Excel and PowerPoint;
6. Excellent verbal, written communication, organizational and time management skills; and
7. Ability to communicate effectively with a diverse group of people.
Preferred Qualifications
1. Strong research administration skills;
2. Experience using one or more of the following systems: Cayuse, Banner, SPIN, eRA Commons and Fastlane; and
3. Knowledge of agency policies related to grants supported by federal agencies, including NIH, NSF, NASA, DOEd and DOD.

Essential Duties and Responsibilities Description
- Guides and facilitates faculty and staff in the development, submission, and preparation of both research and non-research grants, contracts, sub-awards, and other agreements, using internal and external systems such as Cayuse, eRA Commons, Fastlane, eBRAP, etc.
- Coordinates internal proposal routings for approval in accordance with established guidelines.
- Utilizes checklists to review grant and contract application forms to ensure that costs are accurate and comply with federal regulation, award terms, and sponsor and University policies.
- Reviews proposals, grants and contracts to ensure compliance with federal grant regulations and agency policies.
- Identifies and communicates funding opportunities to faculty and staff.
- Utilizes software systems, including grants management and prospecting systems (i.e., Banner, SPIN, Cayuse, etc.), to perform routine job duties and troubleshoot issues experienced by faculty and staff.
- Provides timely responses to a high volume of emails from faculty, staff and external stakeholders.
- Assists in the coordination and preparation of the ORSP annual report.
- Duties could also include drafting, proofreading or completing applications, letters and forms during proposal development and submission process.
- Assists with office including supply purchases; copier maintenance; computer purchases and inventory.
- Maintains a comprehensive calendar that includes schedules for developing and submitting proposal applications, letters of intent and/or support, and other supporting documents to meet all University and sponsor deadlines.
- Schedules meetings, coordinates or conducts workshops and training sessions.
- Updates ORSP website with templates, agreements, and trainings.
- Attends national trainings to develop expertise in research administration and presents findings to the Office.
