We are seeking a highly organized and proactive Personal Assistant to support a busy owner at a Real Estate company in Downtown Vancouver. The successful candidate will manage both lifestyle and administrative tasks to ensure the smooth operation of the household and personal activities. This role requires a versatile, detail-oriented individual who is comfortable with a variety of responsibilities, ranging from household management to scheduling and event coordination.
Key Responsibilities:
- Oversee the management of household personnel, including nannies, private chefs, and housekeepers.
- Coordinate vacation plans, handling communication between the family and staff.
- Schedule and manage home maintenance, repair work, and other household services.
- Run personal errands such as dry-cleaning, car maintenance, and other ad-hoc tasks.
- Assist in the care of two cats, including arranging food, litter, veterinary visits, and grooming.
- Drive children and staff to appointments, extracurricular activities, and commitments.
- Shop for clothes, gifts, and household supplies as requested.
- Manage and assist with household organizational projects and upkeep.
Administrative Support:
- Handle correspondence and communication via email, phone, and other channels.
- Manage the personal office, ensuring supplies are stocked, documents are organized, and filing is up to date.
- Maintain the family’s calendar, keeping track of appointments, events, and changes.
- Monitor school communications, including notices, events, and parent-teacher conferences.
- Schedule and manage extracurricular activities for children, ensuring timely coordination.
- Organize and book restaurant reservations, travel arrangements, and event reservations.
- Assist in planning and coordinating family events, holidays, and celebrations.
- Arrange and coordinate all aspects of travel, including flights, accommodations, and itineraries.
Qualifications:
- Proven experience in a personal assistant or similar support role, ideally in a private household.
- Strong organizational skills with the ability to handle multiple tasks and prioritize effectively.
- Excellent communication skills, both written and verbal.
- Discretion and confidentiality in handling personal and sensitive information.
- Valid driver’s license and a reliable vehicle.
- Ability to work independently and as part of a team.
- Flexibility to adapt to changing schedules and demands.
