Located in the heart of the charming historical French Quarter of St. Boniface, the Notre Dame Recreational Centre has been in operation since 1984. The complex grew out of a community’s desire to have a place to play, celebrate and mark its life events, and is fortunately blessed by its surrounding Winnipeg landmarks: The Forks and the majestic Riel Esplanade bridge. We are proud to be the only bilingual community centre in the city.
POSITION SUMMARY
The Executive Director reports to the Board of Directors and is responsible for providing administrative and clerical services in order to ensure effective and efficient operation of the Centre. This is a full-time position. The incumbent is expected to work a 37.5 hour week, generally Monday to Friday, but must remain flexible to meet users and renters outside of normal business hours. Compensation range ($55,000 - $62,000) with 3 weeks holidays. Apply to complete with CV and cover letter.
KEY AREAS OF RESPONSIBILITIES
Operations / Administrative Duties
Acts as liaison with City of Winnipeg authorities, community groups, area schools, users, and Board of Directors.
Recommends operating policies and procedures for the Centre to the Board of Directors for approval.
Oversees the weekly and monthly planning of all Centre activities.
Administers hall and ice rentals scheduling.
Responds to emergency call-outs, as necessary.
Works with bookkeeping service to ensure timely invoicing and employee payment.
General filing to be done in accordance with different areas of the Community Centre.
Prepares correspondence, reports, and other documents as requested by the board.
Oversees the preparation of incident, personal/bodily injury or property damage reports.
Provides a monthly report to the Board a week prior to their meeting, and attend monthly Board meetings, during which they will answer questions pertaining to their report.
Performs other assigned duties as required.
Human Resources / Supervisory
Responsible for the recruitment, training, supervision and dismissal of all staff, including recommending to the board for approval, the pay scale and job description for each position.
Oversees administration of Canteen/Restaurant operations including ordering supplies, scheduling of staff, and keeping proper records and controls.
Sets work priorities, methods, and scheduling of support staff including rink attendants.
Coordinates staff for events requiring them.
Provides leadership in the development of staff training, including health and safety, cross training, and administration.
Reviews and approves timesheets for all staff prior to processing.
Buildings and Grounds
Conducts facility and ground inspections annually with the Building and Grounds Director as well as City of Winnipeg representatives.
Works in consultation with the Building and Grounds Director on upkeep and maintenance of arena, facility, ice maintenance equipment, including light carpentry, plumbing, painting, etc.
Negotiates and administers all service contracts related to area of responsibilities.
Schedules and oversees all work done for the Centre performed by outside contractors.
Administers maintenance schedule for building equipment.
Responsible to ensure that all records of maintenance for ice plant and ice resurfacing machine are prepared and maintained.
Responsible for ordering and/or receiving all cleaning, building and ice maintenance supplies required by the Centre.
Coordinates repairs to office equipment.
Ensures snow clearing from parking lot and entrances is performed on a timely basis.
Arranges for the set-up and clean-up for socials and other functions.
Finances
Applies for and administers all grants on behalf of the Centre.
Identifies costs and evaluates all projects of a major upgrade or capital nature for consideration and approval by the Board.
Approves all invoices.
Recommends to the Board necessary fees and fee changes for various programs and services, including ice rental rates.
QUALIFICATIONS
Grade 12 diploma or equivalent.
Post-secondary studies in administration, management, sports and recreation is an asset.
Fluent in French and English, written and oral, is preferred.
Ability to maintain a high level of confidentiality concerning the Centre’s files.
Strong knowledge of various technologies, including but not limited to Microsoft programs (Word and Excel), EZFacility, scheduling softwares, and Google applications (Gmail, Calendar, and Sites).
Basic understanding of ice resurfacing equipment, grounds keeping equipment, and HVAC systems are an asset.
Knowledge of office administration procedures.
Excellent interpersonal and communication skills.
Possess cultural awareness and sensitivity.
