Bluesky Strategy Group is a full-service public affairs and communications firm, dedicated to excellence through a team of in-office professional consultants. We regularly welcome clients to our offices and host events on their behalf.

 

Bluesky is seeking a composed and highly professional Office Coordinator to play a pivotal role in our team as the first point of contact to everyone who walks through our doors, ensuring a positive and seamless initial impression for all visitors and clients. As the cornerstone of effective office administration, the successful candidate will ensure our workplace operates efficiently, professionally, and smoothly.  We are looking for a proactive individual with exceptional multitasking abilities, a client-focused approach, and the utmost discretion in handling confidential information. Reporting to the Director of Operations, this is a full-time, 5-day-a-week in-office position with benefits, in an excellent, downtown office location, with direct access to the O-Train.

Key Responsibilities

 

Front Desk Management

·      Represent Bluesky Strategy Group as the first point of contact, ensuring a positive and professional first impression.

·      Welcome visitors, direct them to appropriate areas and provide refreshments.

·      Professionally manage telephone and email inquiries.

·      Arrange and book boardrooms for meetings.

·      Coordinate catering for meetings and events.

·      Operate and oversee office equipment, including multifunctional devices, printers, and shared software applications.

·      Accurately manage and update databases.

·      Co-ordination and liaise with external contractors and vendors to support office needs.

·      Maintain office inventory and ensure supplies are replenished promptly.

·      Follow and implement reception opening and closing procedures.

·      Manage all incoming and outgoing office mail and courier shipments.

·      Handle the presence of multiple clients

·      Support consultants and management as required

 

Event Coordination

·      Assist in planning and executing key events such as lobby days, receptions, and conferences.

·      Manage RSVP tracking, including calling to follow up with invitees.

 

Facilities Management & Safety

·      Communicate with building maintenance to address facility-related concerns.

·      Maintain cleanliness and organization in shared spaces, including reception areas, boardrooms and kitchens.

·      Serve as the safety officer, ensuring compliance with regulations and fostering a safe, healthy work environment.

 

 

Qualifications

 

Education:

·      Post-secondary education in a relevant field, or equivalent experience

 

Experience:

·      Minimum of 2 years in a reception or office coordination role, or equivalent experience.

 

Technical Skills:

·      Advanced proficiency in Microsoft Office 365, with the ability to troubleshoot basic issues.

·      Competence in operating and overseeing office equipment including multifunctional devices and printers, as well as managing databases and software applications.

 

Key Soft Skills:

·      Exceptional organizational and multitasking abilities.

·      Strong verbal and written communication skills.

·      Professionalism, discretion, and the ability to handle confidential information.

·      Friendly and approachable demeanour with the resilience to remain composed in high-pressure situations.

·      Ability to work collaboratively with consultants and team members at all levels.

 

Language Requirements:

·      Bilingualism – English/French (preferred)

 

Work Environment

 

  • Schedule: Full-time, in-office role, Monday to Friday, 9:00 AM – 5:00 PM.
  • Team-Oriented: Work in a structured and welcoming environment while supporting operational efficiency.
