Key Responsibilities:


Deliverable 1 - Delivering projects on budget and on schedule:

-Manage all aspects of assigned projects on company CRM in order to facilitate flow of information to required project stakeholders including Clients, Upper Management, Administrative Staff, Site Staff, Subcontractors, Vendors. While the Project Coordinator may be provided and utilized to manage the CRM/servers, it is the sole responsibility of the Project Manager to ensure that the CRM/servers are up to date at all times.


-Ensure daily communication with the Lead Carpenter or Site Supervisor to fully communicate amongst the team the understanding of projects and their daily and weekly goals.

-Weekly goals (potentially Mondays) are to be determined by the Project Manager. These goals are to be communicated and delegated by the Project Managers through weekly Goal Setting and Review Meetings with Lead Carpenters or Site Supervisors. These GSR meeting are mandatory and documentation must be submitted to the CRM/servers.

-Weekly review of the above goals is also to be completed. Review of successes and areas of improvement is mandatory to eliminate errors in future management of project.

-Review current budget and schedule status with site staff/subs to ensure all parties are aligned with project deliverables. The GSR is crucial to align office and site staff with deliverables and potential conflicts.


-Prepare and maintain a master construction schedule for the projects being managed.

-Creating, maintaining and distributing the Project Schedule for all assigned projects is mandatory at minimum once per month for projects 4 months or longer, and minimum twice per month for projects shorter than 4 months. It is mandatory that all Project Schedules must be saved chronologically as PDFs in the project folder on the server/CRM.

-Help to ensure tools and materials are prepared in advance to enable projects to be produced in the most efficient manner possible. Ensure long lead time materials are on order at the start of the project to eliminate the potential of project delays.

-Follow up and trouble shoot any existing issues related to each project. This includes team conflict, client concerns, supplier, or vendor discrepancies. All office and site work should be double-checked and reviewed for deficiencies at all times.

-Prepare and track all RFIs, Change Directives, Project Changes and Change Orders related to each project. Approval, communication, and organization of each change order is the responsibility of the Project Manager.


-Create and issue COs per template provide or submit request to estimator with sufficient notice.

-Ensure project schedule is always forecasted with new and relevant information. A forecasted billing schedule must be presented to the clients on a monthly basis along with the Budget Review

-All RFIs, Change Directives, Project Changes and Change Orders must be saved as a PDF in chronological order on the company server/CRM


-Manage and maintain client budgets on a bi-weekly basis. Ensure to include estimated project costs, actual project costs and new totals if change orders are added. It is the sole responsibility of the Project Manager to maintain the Project Budget and distribute to clients.

-Creating, maintaining and distributing the Project Budget for all assigned projects is mandatory

-Set up and attend monthly Budget Review Meetings with the Production Manager and Lead Estimator.

-Ensure all necessary materials and tool rentals are requested and returned daily to prevent delays to the production schedule.

-Maintain regular contact with the appropriate staff members to ensure that all project progress is on track.

-Subcontractor/Supplier invoices are to be reviewed weekly

-Review and approve all staff hours on related projects on weekly basis (Mondays for the previous week).

-Ensure field staff are completing administrative tasks including but not limited to toolbox talks, photo submissions, updating GSR tasks and communications on CRM, LOA and mileage reimbursement forms, boat tracking forms, etc. as required.

-Ensure site finishes are always protected to avoid damages that become a cost to BWC. Actively manage all projects to reduce slippage (rework, non-billable hours, replacement materials, concessions, etc.).

-Review and approve all subcontracts related to assigned projects, ensuring they fit within the budget provided by Upper Management. Manage all subcontracts, subcontractor change orders, scopes, scheduling, and deficiencies over the course of the project. It is the Project ------ Managers responsibility to ensure all BWC subcontracts are executed, and that subcontractor WCB and Insurance certificates are attained. All documents must be saved on the server/CRM at all times.

-Research and review all building assemblies and building codes related to assigned projects. Coordinate all subtrades and BWC staff to complete building assemblies in an efficient and time sensitive manner.

-Ensure all staff and subtrades on assigned projects are adhering to WCB regulations. Should BWC staff be operating in an unsafe manner, immediately address the issue with Lead Carpenter and Project Coordinator. All injuries must be reported to Production Manager or Office Manager.

-Lead project start up meetings with Lead Carpenter, Designer, Estimator, Project Coordinator, Shop Manager, Production Manager to ensure successful project start ups.

Ensure site staff are wearing staff clothing at all times, and that Blue Water site signage is visible in a presentable manner at all times.

-Ensure site staff are oriented to all safety concerns on site including the Hazmat report. Ensure all staff are aware of potential risks and hazards on site and that they are managed in a safe manner at all times. For no reason at all should Blue Water staff be dismantling or handling hazardous materials such as lead or asbestos. Ensure all staff and subtrades on assigned projects are adhering to WCB regulations. Should BWC staff be operating in an unsafe manner, immediately address the issue with Lead Carpenter/Site Supervisor and Production Manager. All injuries must be reported to Production Manager or Office Manager.

-All projects to be delivered to the highest quality allowed for in relation to the budget as set by the Design Team and Estimator. BWC prides itself on delivering a quality product to clients, however Project Manager is responsible for setting and managing client expectations at all stages of the project. BWC would prefer to set a high standard for quality of construction and manage change orders than “cut corners” to stay on budget.

-Ensure site staff are leaving sites clean and organized each day with upmost emphasis on street presence and neighborhood safety.

-Ensure all project rough-ins are installed per project specifications. Ensure layouts are double checked on site to avoid moving services towards the end of the project or having trades move rough-ins. It is the Project Manager’s responsibility to ensure this is being done by field staff to avoid unbillable work. Ensure all rough-ins are documented by photo prior to cover up.

-Use CompanyCam to save all project photos chronologically and provide sequential visual documentation of the project.

-Manage Blue Water supporting roles and relay necessary project information as required to PCs, Designers, Estimators and/or Production Manager to avoid delays and aid client decision making.

-Ensure the Project Closeout Procedure is followed as directed by the Production Manager. This includes issuing project turnover package with spec sheets, trade contact lists, spec lists, manuals, warranty documents, inspection reports, client gifts etc. The Project Coordinator may be available to assist with this Project Closeout Procedure, however it is the Project Managers responsibility to ensure the process is completed.

-Monitor and manage project metrics including Gross Profitability to ensure company targets are being met or exceeded.

Qualifications:

-A minimum of 5+ years of experience as a Project Manager, within the construction industry.

-Proven ability to manage projects ranging from $500K to $3M, including large-scale renovations, new builds and commercial projects.

-A proactive, solution-oriented mindset—able to anticipate challenges and address them before they arise.

-Strong organizational and communication skills to effectively coordinate with teams and clients.

-A diploma or degree in Construction Management or a related field.

-Professional certifications such as PMP (Project Management Professional) or Red Seal is an asset.

-Proficiency with software tools, including MS Office Suite - Excel, MS Project, etc.

-A demonstrated interest in and commitment to managing commercial and residential projects of all sizes.

-Ability to be present in our Squamish office and on job sites between West Vancouver to Whistler
