BCforward is currently seeking a highly motivated Executive Receptionist for an onsite opportunity in Indianapolis, Indiana!


Summary :

  • Position Title: Executive Receptionist
  • Location: Onsite in Indianapolis, Indiana
  • Anticipated Start Date: 01/27/2025
  • Duration: Full-Time Employee
  • Work Requirement: W2, sponsorship cannot be provided for this role.


Please note that actual compensation may vary within this range due to factors such as location, experience, and job responsibilities, and does not encompass additional non-standard compensation (e.g., benefits, paid time off, per diem, etc.)


Compensation structure is competitive base salary (+) commission (+) full benefits package w/ 401k.


Position Overview

As the first point of contact for clients, candidates, and visitors, this role will ensure a welcoming and efficient office environment. The responsibilities will include managing the front desk, providing administrative support to the internal Leadership team, and assisting with day-to-day operations to help maintain a smooth workflow.


Responsibilities:


Reception and Front Desk Management

· Greet and welcome clients, candidates, visitors, and employees in a friendly and professional manner.

· Answer, screen, and direct incoming calls, providing accurate information or routing inquiries to appropriate team members.

· Maintain the appearance of the reception area, ensuring it is tidy, organized, and presentable at all times.

· Manage the check-in process for candidates and visitors, including notifying the hosting employee that their guest has arrived and if necessary, escorting the individual to the appropriate conference room.


Administrative Support

· Handle mail packages, and deliveries, ensuring timely arrival notification and distribution.

· Schedule meetings, manage conference room bookings, and coordinate office calendars as needed.

· Assist with data tracking and entry in company systems.

· Provide general administrative support to recruiters, account managers, and the internal leadership team.


Customer Service

· Address general inquiries from visitors, candidates, clients, and employees, offering them assistance or directing them to the right resources.

· Serve as a liaison between clients, candidates, and internal staff to facilitate effective communication.


Operational Assistance

· Assist with organizing events and meetings held in the office.

· Maintain front office inventory supply, ensure all necessary materials are stocked and accessible.

· Support office-wide initiatives, including internal communication and culture-building activities.


Requirements:

· Associate’s degree not required but preferred.

· A minimum of two years’ experience in a similar role

· Must be flexible to last minute changes/directions in a fast-paced environment.

· Must be a quick learner and able to anticipate situations and management needs.

· Strong organizational, prioritization skills; attention to detail.

· Strong communication skills; written and verbal.

· Excellent interpersonal skills.

· Ability to work in a team environment and maintain a pleasant disposition.

· Ability to be proactive, handle simultaneous projects, work independently.

· Ability to handle highly sensitive
