Role: Executive Assistant

Location: Manhattan, NY (hybrid -3-5 days/week from office)


We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to (Executive's Title). The ideal candidate will serve as a trusted partner, ensuring efficient management of the executive’s daily activities, communication, and strategic priorities.

Key Responsibilities

  • Administrative Support : Manage the executive’s calendar, schedule appointments, and coordinate meetings, ensuring alignment with priorities.
  • Travel Management : Plan and book travel arrangements, including flights, accommodations, and itineraries.
  • Communication : Act as the first point of contact, handling correspondence, emails, and calls on behalf of the executive.
  • Meeting Preparation : Organize agendas, prepare briefing documents, and take minutes during meetings.
  • Task Management : Track and follow up on tasks and projects to ensure deadlines are met.
  • Document Management : Draft, edit, and proofread presentations, reports, and other documents.
  • Relationship Management : Build and maintain positive relationships with internal and external stakeholders.
  • Event Coordination : Plan and execute team events, offsites, and other organizational activities as needed.
  • Confidentiality : Handle sensitive information with discretion and maintain a high level of confidentiality.

Qualifications

Educational Background :

  • Bachelor’s degree in Business Administration, Communications, or a related field.

Professional Experience :

  • Minimum of 3-5 years of experience in an Executive Assistant or similar role.
  • Experience supporting C-suite executives is preferred.

Skills and Competencies :

  • Organizational Skills : Exceptional ability to multitask and prioritize in a fast-paced environment.
  • Communication Skills : Excellent written and verbal communication skills.
  • Tech Savvy : Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling tools like Google Workspace.
  • Problem-Solving : Strong analytical skills and a proactive approach to problem-solving.
  • Interpersonal Skills : Ability to build and maintain strong professional relationships.
  • Attention to Detail : High accuracy and focus on quality in all tasks.
