Overview: We are seeking a dedicated and detail-oriented Financial Assistant II to join a prestigious college based in Cambridge, MA. This contract-to-hire position offers an excellent opportunity for individuals aspiring to transition into higher education while advancing their financial and administrative expertise. The Financial Assistant II will report directly to the Assistant Director of Finance, providing essential financial and administrative support to the Division of Student Life (DSL) Accounting team. This role encompasses diverse responsibilities, including supplier transactions, procurement, reimbursements, and internal provider billings. Successful candidates will work collaboratively with DSL staff, other college departments, and external vendors.
Key Responsibilities:
- Oversee and monitor credit card usage to ensure compliance with spending policies and limits.
- Review and verify credit card transactions, ensuring proper documentation and accurate general ledger postings.
- Investigate and resolve discrepancies in credit card and travel card transactions.
- Enter and manage COUPA requisitions for goods and services within the procurement system.
- Monitor and maintain purchase orders, including blanket purchase orders.
- Communicate with suppliers to ensure timely delivery and accurate invoicing.
- Process supplier invoices and ensure prompt payments.
- Resolve supplier inquiries and discrepancies efficiently.
- Create and upload journal entries as needed.
- Assist in preparing and posting expense allocations across DSL business units.
- Support quarterly and year-end closing processes.
- Provide guidance and respond to financial inquiries, ensuring compliance with DSL and institutional policies.
Qualifications:
- Bachelor’s degree preferred, ideally in Accounting, Finance, or Business.
- Minimum of three years of experience in accounting or finance, including payment and invoice processing.
- Proficiency in accounting practices and MS Office.
- Strong analytical, organizational, and communication skills (both written and verbal).
- Familiarity with SAP and COUPA is highly preferred.
- Ability to work effectively in a fast-paced environment and prioritize tasks with attention to detail.
